Job Summary

The Dove Medical Practice is looking to recruit a friendly, organised and motivated Receptionist / Administrator to join our team. This role combines patient‑facing reception duties with administrative support for the Practice Management Team, ensuring smooth day‑to‑day running of the practice while providing excellent customer service to patients.


Responsibilities


Reception Duties

* Greeting and assisting patients and visitors.
* Answering telephone calls and responding to patient enquiries.
* Booking, amending and cancelling appointments.
* Processing patient requests and signposting where appropriate.
* Managing incoming and outgoing correspondence.
* Maintaining confidentiality and accurate patient records.


Administrative Duties

* Updating patient demographics and records.
* Processing workflow and administrative tasks.
* Managing practice email inboxes.
* Scanning, photocopying and document management.
* Maintaining electronic filing systems.
* Preparing meeting packs, agendas and taking minutes.
* Maintaining staff records, training records and compliance folders.
* Supporting audits, patient surveys and Friends & Family Test administration.
* Assisting with recruitment administration.
* Maintaining IT equipment inventories and logging support tickets.
* Supporting patient communication campaigns and general practice administration.


Qualifications and Experience


Essential

* Previous experience in a customer service, reception or administrative role.
* Excellent communication and organisational skills.
* Good IT skills and ability to learn new systems.
* Ability to work in a fast‑paced environment while maintaining attention to detail.
* GCSE grade A to C in English and Maths.


Desirable

* Previous experience working within General Practice.
* Experience using EMIS Web.
* Experience processing repeat prescriptions.
* Experience workflowing clinical correspondence.
* Experience using Docman.
