Role Description
This is a full-time, on-site role for a Commercial and Operational Administrator located in Kelvedon, Essex. The individual in this role will be responsible for handling administrative tasks, providing exceptional customer service, supporting financial processes, and assisting with sales operations. The position includes maintaining documentation, coordinating schedules, liaising with clients, and ensuring smooth internal communication to support overall business operations efficiently.
Commercial & Operational Support
Assist with the preparation and issuing of project invoices and applications for payment.
Support the commercial team with quotations where required
Liaise with clients regarding project status, documentation, and commercial queries.
Maintain accurate commercial records, contracts, and supporting documentation.
Assist with the compilation and management of contract documentation, ensuring compliance with agreed terms.
Aid in the transition to digital software for both commercial and operational functions.
Operational & Project Administration
Produce and compile job packs for site teams, ensuring all required documentation is accurate and issued on time.
Prepare, review, and issue Risk Assessments and Method Statements (RAMS) in line with project and client requirements.
Support operational teams with project documentation and ongoing job administration.
Assist with the implementation and ongoing use of digital platforms for job management, document control, and reporting.
Maintain and update digital systems to ensure accurate tracking of jobs, documentation, and operational data.
Office & Administrative Duties
Manage incoming calls, emails, and general correspondence.
Organise, maintain, and update project files, records, and databases.
Prepare reports, spreadsheets, and other administrative documents as required.
Provide general administrative support across the business to ensure efficient office operations.
Qualifications
Strong Communication and Customer Service skills to engage effectively with clients and internal teams.
Proven expertise in Administrative Assistance to manage schedules, documentation, and office tasks smoothly and efficiently.
Basic knowledge of Finance to assist with invoicing, purchase orders, and financial record-keeping.
Self-motivated with attention to detail, organisational skills, and the ability to prioritise tasks in a dynamic environment.
Experience in civil engineering, construction, or relevant industry is advantageous, however not required.
Proficiency in relevant software tools, such as Microsoft Office Suite, is a plus.
