We are seeking a highly motivated Program Assistant to join our Program Department. The successful candidate will contribute to developing and delivering a high-quality program focused on ensuring that poor children and youth benefit from development efforts. The Program Assistant will support strategic planning and work within teams to mainstream gender equality. They will undertake analytical and advocacy work with the Program Manager, especially in youth development and empowerment. The role involves supporting planning, monitoring, coordination, proposal development, and program publicity.
Under the supervision of the Program Manager, the Program Assistant provides operational and administrative support, performs coordination and logistical tasks, and assists with information management.
Overall Responsibility
To contribute to achieving the objectives outlined in the Organization Strategy by leading the development, coordination, implementation, and monitoring of the organization’s program action plan, with a focus on advancing youth economic empowerment.
Typical Functions
* Assist in planning, monitoring, and coordinating organizational activities.
* Develop and maintain an efficient filing system, process calls for proposals, and track proposals; participate in program design and analysis through updates, reviews, and site visits; assist in preparing reports.
* Help develop and maintain positive relationships with partners, including government, development agencies, parliament, media, and NGOs.
* Represent the organization at relevant meetings, including the Gender Development Partners Group, and prepare briefings for the Program Manager.
* Assist in maintaining databases and mailing lists of stakeholders and audiences.
* Take minutes of meetings and report to the Program Manager.
* Support the design and maintenance of the program’s website and dissemination of IEC materials; assist in preparing press briefings.
* Facilitate recruitment, placement, and retention of program volunteers, including database management and final reports.
* Identify and engage potential sponsors, donors, and partners locally and abroad.
* Support Communications and Marketing in creating mailing groups for updates.
* Provide administrative support across programs, including file management and updates.
* Support training for trainers, project coordinators, and beneficiaries in various disciplines.
* Assist in organizational policy development and implementation.
* Create content for donors and partners to enhance capacity and program implementation.
* Ensure activities are documented with verification methods like photos, videos, and sign-up sheets.
* Collect field content such as testimonials and media for website and newsletters.
* Assist in improving program design, M&E processes, and impact assessment.
* Help create and implement work plans and activity schedules.
* Identify and develop alternative income sources for sustainability.
Education and experience requirements include a minimum of an Associate degree.
