Junior Office Administrator & Secretarial Support Location: Pimlico Salary: £25,000 - £30,000 Role Type: Full time, Permanent Hours: Full-time, fully office-based (Monday-Friday, 9:00am-5:30pm) About the Role We are seeking a highly organised and proactive Junior Office Administrator to provide comprehensive administrative and secretarial support within a busy professional office. This is a hands-on position that requires the ability to work independently as well as collaboratively within a small team. The successful candidate will play an important part in ensuring the smooth day‑to‑day running of the office, supporting partners, and delivering excellent service to clients. Key Responsibilities Administrative Support Provide day-to-day administrative assistance to partners and senior staff, including drafting and managing correspondence. Maintain accurate records of client documents, logging items in and out of the office, and ensuring completeness upon receipt. Support with general data entry and ongoing database maintenance to ensure information is current and accurate. Assist with basic bookkeeping tasks such as collating client invoices, primarily using Excel. Open, organise, and maintain both physical and electronic client files, ensuring filing systems remain structured, secure, and up to date. Handle Bank Audit Certificate requests and maintain organised control of their receipt and return.Compliance & Documentation Submit documents online to the Registrar of Companies and ensure filings are completed accurately and within required deadlines. Prepare draft invoices and update the internal time‑cost system, including writing off non‑chargeable time where required. Support the debt collection process through written and verbal communication with clients when necessary.Secretarial & Reception Duties Manage all incoming and outgoing post, including logging and distribution. Provide accurate typing support for correspondence, memos, invoices, file notes, and emails. Undertake reception duties, including handling telephone calls, greeting clients, and coordinating with couriers. Oversee meeting room bookings, preparation, and general management. Maintain organised filing systems and assist with document archiving.General Office Support Provide ad‑hoc administrative assistance as required by team members. Contribute to the overall smooth operation of the office and uphold a professional, welcoming environment.Skills & Experience Required Strong IT skills with a solid working knowledge of Microsoft Office, especially Excel and Outlook. Excellent communication skills with the ability to interact confidently and professionally with colleagues and clients. Highly organised, with the ability to prioritise, manage workload independently, and meet tight deadlines. Proactive, reliable, and adaptable with a strong commitment to delivering high-quality work. Strong attention to detail, discretion, and the ability to handle confidential information appropriately.
