Main duties of the job
As a Medical Receptionist, you will be the first point of contact for patients, helping them navigate the practice with professionalism and care. Youll balance multiple administrative tasks, support the smooth running of the surgery, and play a key role in ensuring patients receive timely, efficient, and compassionate service. This role requires initiative, adaptability, and a proactive approach to solving day-to-day challenges.
About us
We are a small, single-handed GP surgery located on Maple Road, serving the Brooklands and Northenden (Wythenshawe) communities in South Manchester.
As a uniquely single-handed practice, we care for around 3,700 patients with the support of a dedicated team of approximately 19 staff members. Our administrative team includes 8 administrators and receptionists, supported by 2 reception supervisors and a Practice Manager.
Our clinical team is diverse and highly skilled, comprising GPs, GP Trainees, Foundation Doctors, Clinical Pharmacists, Physiotherapists, Practice Nurses, an Associate Physician, and Healthcare Assistants.
We are a traditional family-doctor practice that values personal patient relationships, while also embracing the Modern General Practice Model. We focus on delivering a patient experience that is open, accessible, and tailored to individual needs.
Job responsibilities
Key Duties & Responsibilities
Welcomeand receive all patients and visitors to the Practice
Assistand direct patients to the appropriate healthcare professional/service whenthey arrive at the Practice
Processall requests for appointments, visits and telephone consultation/triageensuring all calls are directed to the appropriate healthcare professional andensuring careful and accurate recording of details at all times
Projecta positive and friendly image to patients and visitors either in person or onthe telephone
ExplainPractice arrangements and formal requirements to new patients wishing toregister and those seeking temporary registration ensuring all registrationprocedures are completed
Completenew registration procedures and ensure accurate recording of details at alltimes
Receiveand make telephone calls as required. Divert calls and take messages ensuringaccuracy of detail and prompt appropriate delivery
Actionrepeat prescription requests and ensure they are ready for collection by thepatient within 72 hours
Providetest results to patients on advice from the GP or Nurse
Acceptpayment and issue receipts for private (non-general medical services) services
Facilitateeffective communication between patients, members of the primary health careteam, secondary care and other associated healthcare agencies
Actas a chaperone for general examinations if requested following appropriatetraining
Maintaina general overview of the reception area and take appropriate action to managedifficult/aggressive patient behaviour or those whose illness/condition worsenswhile waiting to be seen.
Dealwith general enquiries and explain procedures as requested
Offergeneral assistance to the Practice team
Openup premises at the start of the day, if first to arrive, de-activate the alarmmake all necessary preparations to receive patients for the opening time of thePractice
Whenlast to leave premises at the end of the day, ensure that the building istotally secured, telephone diverted to Out of Hours number, internal lights areswitched off and the alarm activated
Clearand re-stock consulting rooms as required
Ensurethe reception area, notice boards and leaflet racks are tidy and free fromclutter and obstructions
The post holder will participate inany training activity implemented by the Practice or Woodlands Medical Practiceas part of this employment, such activity to include:
Participationin an annual performance review (appraisal), including taking responsibilityfor maintaining a record of own development activity
Takingresponsibility for own development and learning by following through objectivesset at appraisal
Ensureattendance at identified training events
Attendinduction training, mandatory training and mandatory updates as required
Attendanceat Practice meetings
Supportthe induction and training of new members of staff in reception procedures

Woodlands Medical Practice isregistered under the Data Protection Act 1998. 9.Health & Safety
