Responsibilities
Project Ownership
* Accept ownership and responsibility for any assigned project
* Maintain oversight of all aspects of project delivery including resourcing
* Provide support and guidance to all team members
* Arrange regular team meetings for effective communication
* Follow documented proven processes in line with company policies
* Ensure projects are delivered on time, within budget, and meet specifications
* Provide proactive weekly reports to account management, including solutions and escalation of issues
Client Management
* Register client requests within 24 hours
* Maintain regular contact and provide accurate reports
* Conduct professional meetings with agendas and reports
* Follow through on promises made to clients
* Maintain a sociable relationship with clients
Project Management
* Ensure proper project setup and maintenance
* Maintain high-quality client-facing documentation
* Use company templates and control versions
* Proof documents appropriately
* Understand GDPR, ISO, and Health & Safety policies and their implementation
* Plan for health and safety early in the project
* Coordinate with internal teams for effective planning
* Develop detailed project plans and conduct inclusive kick-offs
* Manage logistics and purchasing strategies with guidance from the Head of Production
* Create, review, and approve safety plans and onsite roles
* Oversee onsite delivery according to plans
* Inventory and document client property
* Negotiate supplier contracts for best interests and savings
* Consult with the Head of Production on purchasing strategies
* Prioritize key suppliers and conduct RFP processes when appropriate
* Raise purchase orders and gain approvals
* Consider favorable payment terms and future key suppliers
Finance
* Maintain accurate project records in Procim
* Develop detailed project budgets
* Manage change processes and client reporting
* Create cash-positive billing schedules
* Conduct project time audits
* Ensure timely invoicing and reconciliation
Closure
* Ensure professional project closure including non-conformity reports, debriefs, thank you letters, surveys, documentation, and archiving
Proposal & Pitch
* Support new business bids and participate in proposal planning
* Contribute to pitch presentations as needed
