Volunteer Secretary Trustee role at Careers Springboard. Careers Springboard is a registered charity based in Gerrards Cross, Bucks. Volunteers provide free help/direction/coaching on Zoom to redundant, unemployed professionals, and graduates who seek employment. Your location must be in the UK.
What difference will you make?
Over 35 years, Careers Springboard has helped 3,500+ job seekers get back into work. Our activities are on the go 24/7 as job seekers join us, seek a variety of services from us, and then move on. The Secretary needs to keep on top of records, Minutes, policies, and ensure the charity’s governance and administration are orderly. The Secretary will work closely with the chairperson on a weekly basis and provide advisory support to fellow members of the Executive Committee who are Trustees of the charity. Documents will be tidy with authorised access for the Executive Committee.
Responsibilities
* Maintain accurate records of meetings and developments; provide advisory support to fellow members of the Executive Committee (Trustees).
* Keep files tidy and accessible for authorised Trustees; ensure governance documentation is up to date.
* Work closely with the chairperson on a weekly basis.
* Observe and follow presentations to job seekers (e.g., CV preparation, interview techniques, networking, online job search, and related coaching topics).
* Support graduates with CV development and one-to-one coaching, with services offered free to members/job seekers.
* Participate in four virtual Executive Committee meetings per year and assist with weekly meetings as needed; prepare agendas, take Minutes, and circulate action points.
* Ensure Trustee list is up to date for the Annual Report to Charity Commissioners; review policies regularly.
* Maintain Careers Springboard documentation using Google Drive for easy Trustee access.
* Possibly progress to Trustee status after an initial learning period; Trustee status is confirmed at the AGM.
What are we looking for?
* At least 3 years of secretarial/administration experience.
* Experience of working within a registered charity is advantageous but not essential.
* Location in the south of England with occasional access to the South Buckinghamshire area and Gerrards Cross base is preferable.
* Fluent in spoken and written English.
* Experience taking Minutes online and arranging/recording meetings; experience using Google Drive for documents, records, and reports.
* Knowledge of basic Company and Charity Law is preferable.
* Experience working with volunteers or self-help groups is a bonus.
* Enthusiasm for supporting and advancing Careers Springboard; basic IT skills (email, records, documentation, Minutes, filing).
What will you be doing?
* Participate online in approximately 20% of Monday evening meetings and four times a year in Executive Committee meetings, including AGM.
* Prepare agendas, take Minutes, and circulate with action points to the Executive Committee.
* Support a virtual programme of weekly Monday evening meetings via Zoom, covering job-search skills (CVs, online job search, networking, LinkedIn, interview practice, etc.).
* Ensure that the Secretary duties are carried out to properly administer meetings and maintain up-to-date trustee lists for the Annual Report.
* Work with the Treasurer to keep the Trustees list up to date and accurate for reporting to Charity Commissioners; ensure policies are reviewed regularly.
* Maintain documentation in Google Drive for easy access by Trustees and volunteers.
There are currently seven Trustees serving on the Executive Committee.
