We’re recruiting for a proactive and organised Talent Acquisition Coordinator to support our recruitment activities. This role will help ensure a smooth candidate and hiring manager experience while enabling efficient and compliant recruitment operations.

About The Role:

As a Talent Acquisition Coordinator at Stantec, you will play a vital role in supporting the end-to-end recruitment process. Working closely with Talent Acquisition Partners, HR Business Partners, and Hiring Managers, you’ll help deliver a consistent, professional, and engaging hiring experience for candidates and internal stakeholders alike.

This position involves operational delivery across candidate communication, data management, process coordination, onboarding support, and TA analytics/reporting helping drive continuous improvement across Stantec’s talent acquisition practices.

Key responsibilities:

1. Support Talent Acquisition Partners with all phases of the recruitment lifecycle, including posting jobs, managing candidate communications, and scheduling interviews with candidates and hiring managers.

2. Ensure recruitment systems (ATS) are maintained accurately creating, updating, and closing requisitions and candidate records.

3. Coordinate smooth onboarding activities with HR colleagues and hiring managers to deliver a positive new-joiner experience.

4. Draft and issue standard candidate correspondence including interview invites, feedback, and offer documentation.

5. Maintain accurate recruitment data for reporting, compliance, and audit purposes.

6. Track and report on recruitment metrics and progress to support data-driven decision-making.

7. Support employer branding initiatives and careers marketing activity (job board posts, social sharing, etc.).

8. Contribute to continuous improvement identifying ways to optimise processes, candidate experience, and system usage.

About You:

9. Experience in a recruitment support, HR administration, or Talent Acquisition Coordinator role (or similar).

10. Comfortable using applicant tracking systems (ATS) and HRIS tools with strong data accuracy.

11. Excellent organisational skills with the ability to manage multiple tasks concurrently.

12. Strong written and verbal communication skills, with commitment to delivering exceptional candidate and stakeholder service.

13. Proficient in Microsoft Office (especially Outlook, Word, Excel).

14. A proactive approach to problem-solving and continuous improvement.
