The role of Administrator is to promote Prestige Nursing & Care, ensuring full compliance with quality, regulatory and legislative standards. The role requires a proactive response to building key internal and external relationships. An eye for detail is essential as is knowledge of current social care sector conditions and trends.
We are looking for a dynamic Administrator with excellent organisational skills that is matched to a flexible, enthusiastic, and can-do attitude to join our established Edinburgh branch.
You will be assisting and supporting your Branch Manager in ensuring that key business and compliance targets are met.

ROLE PURPOSE
The role of Administrator is always to promote Prestige Nursing & Care as well as ensuring that the utilisation of nursing and care resources is both maximised and aligned with client requirements within defined quality, compliance, and safety standards.
The success of this role will be measured by:
1. Branch hours and sales enquiry recording
2. Branch client and care worker compliance
3. Forming strong relationships with the Frontline Colleagues
4. Build relationships with multi-disciplinary working partners
5. Business KPI’s met
MAIN RESPONSIBILITIES
6. Taking calls for new enquiries, assessing their needs and hours required and passing this over to care planners.
7. Reporting and documentation of block contracted hours use for local authority.
8. Hospital admission enquiries and dealing with hospital discharges.
9. Diary Management of coordinators, field care team and branch manager ensuring meetings, reviews, assessments, organising absence review meetings supervisions, and training are on the relevant calendars
10. Ordering of PPE and Office supply for the branch
11. Undertake archiving following the established process and ensure it is collected in a timely manner
12. Take phone messages – allocate task via email to the relevant person
13. Complete initial log of IMS, ensure this is then allocated to branch manager to complete.
14. Involvement in any ongoing investigations and completing investigation reports.
15. Complete quality assurance and monitoring calls.
16. Monitor IRIS compliance and allocate tasks to individuals who need to undertake actions, upload any supporting documentation required
17. Book training on to the system when requested and liaise with coordinators to ensure carers availability to attend
18. Work alongside FCS/FCM to ensure paperwork required is audited monthly
19. Live monitoring of visits and ensuring any alerts are cleared giving an appropriate reason
20. Undertake noncomplex audits, upload to teams and file highlighting any actions required and allocate the task to the appropriate colleague
21. Build a sound knowledge of the branch’s clients and packages and care staff
22. Effective time management
23. Ensure all communication is followed up with an email
24. Any other task deemed appropriate by Branch Manager
25. Provide excellent customer service levels to internal and external users of the business.
26. Ability to liaise with a variety of healthcare professionals, social workers, and case managers.
GENERAL RESPONSIBILITIES
27. Support with the day-to-day responsibilities of the team when required

In line with CQC & Care Inspectorate regulations, we require and will undertake enhanced DBS/PVG, right to work, reference and employment history checks in line with Government guidelines for this role and safer recruitment best practice.
