OverviewAs a Facilities Manager at Praxis Facilities Management (PFM), you’ll act as a trusted ambassador of our business, representing us professionally at all times. Your core purpose is to optimise the performance, efficiency, and commercial success of the properties under your care.Working collaboratively with Property Teams, you'll enhance service delivery, drive sustainability initiatives, and ensure high-quality environments for tenants and clients.You’ll be responsible for managing all services and processes that support the core business, ensuring operational excellence, compliance, and tenant satisfaction across a dynamic property portfolio.The portfolio under your management will have a service charge value exceeding £1.2 million and includes multiple sites in and around Fareham, which will serve as your primary base. In addition, you'll be responsible for two properties in Guildford and two in Godalming. We’re looking for someone who is comfortable travelling to these additional sites at least once a week to ensure consistent oversight and service delivery across the full portfolio.Key ResponsibilitiesFinancial ManagementLead the development, management, and control of annual service charge budgets, including quarterly cash flow forecasts.Produce clear and informative budget booklets for tenants and landlords, outlining rationale and planned expenditure.Monitor financial performance against budget, providing regular forecasts, variance analysis, and management reports.Coordinate with Finance and Head Office to prepare end-of-year service charge reconciliations and performance summaries.Ensure timely resolution of accounting queries with internal teams and external stakeholders.Identify and escalate any exceptional financial circumstances, proposing solutions with your line manager.Deliver continuous improvements in operational systems, processes, and controls to drive efficiency.Health, Safety & Risk ComplianceEnsure full compliance with statutory regulations across Health & Safety, Fire Safety, COSHH, Employment Law, and Data Protection.Oversee completion of risk assessment actions and maintain an effective Disaster Recovery Plan in collaboration with external agencies.Serve as the main contact for enforcement bodies and emergency services.Ensure contractors adhere to site safety standards and relevant permits to work are in place.Maintenance & Operational DeliveryImplement and manage robust facilities management programmes, including preventative maintenance and life-cycle planning.Conduct regular property inspections, including vacant unit checks for insurance compliance.Oversee cleaning, maintenance, security, landscaping, waste disposal, parking, and central services.Monitor utility consumption and drive sustainability across the business space portfolio.Plan and deliver facility refurbishments and renovations as required.Maintain consistently high standards for presentation, cleanliness, and repair across all sites.Contractor & Supplier ManagementEvaluate service delivery against contractual agreements and specifications, swiftly addressing any shortfalls.Lead procurement activities, including obtaining quotes, managing tenders, and negotiating contracts for best value.Supervise contractor performance, ensuring delivery standards, timelines, and safety protocols are met.Validate contractor invoices against contractual terms and approve for payment.Manage in-house maintenance staffing levels for optimum efficiency.Tenant & Stakeholder EngagementBuild and maintain strong working relationships with tenants, landlords, and agents.Deliver an annual programme of tenant meetings and implement effective communication channels.Develop and maintain up-to-date Tenant, Contractor, and Emergency Handbooks.Represent the property at leasing and asset management meetings where required.Serve as the key local contact for all tenant queries, new lettings, and building-related matters.Requirements & SkillsRelevant Facilities Management qualification or equivalent operational experienceMember of IWFM (Institute of Workplace and Facilities Management) or working towards membershipAbility to travel at least once a week to sites in Guilford and Godalming (primary location base is Fareham) A full UK driving licence and access to your own vehicle is essential for this role, as you'll be required to travel regularly between sitesIntermediate proficiency in Microsoft Office (Excel, Word, Outlook)Strong experience in a fast-paced, entrepreneurial property environment (retail or business space preferred)Sound knowledge of Health & Safety legislation and compliance practicesProven ability to manage budgets, contracts, and building operations end-to-endConfident communicator with strong reporting and negotiation skillsAble to manage contractors and teams effectively to deliver high service standardsPersonal AttributesProfessional, reliable, and solutions-focusedApproachable and collaborative with excellent interpersonal skillsAble to work independently, manage multiple priorities, and meet deadlinesFlexible and proactive, with a high level of attention to detailStrong organisational skills and a forward-planning mindset
