We are searching for an Office Coordinator to work within our London office and showrooms in Spitalfields, London. We host daily guests and international colleagues, as well as being home to our 70, or so, UK colleagues made up of our Sales, & Business Support teams.
This is an office-based (Monday thru Thursday,, with early finishes on Friday, role which is the hub of the office, and requires someone to enjoy managing many day-to-day requests and support of the entire team (questions ranging from tech, showrooms, hospitality, office running, local area). The go-to person to support any of our sales or business support functions.
Furthermore, as part of the Office & Facilities team, you will:
1. Maintain smooth daily running of the office
2. Providing hospitality for our visitors and guests - ranging from fashion industry buyers to our colleagues travelling internationally through our company’s offices and showrooms.
3. Ensuring office and showroom standards are consistently met – supporting the Office Manager with excellent working order of both front and back of house through thorough daily management of all sites, including Manchester and warehouse.
4. Carrying out office walks to ensure showrooms are set-up for daily appointments
5. Preparing for buying appointments, training sessions, events – breakfasts and lunches.
6. Maintaining daily standards in storeroom. – Working with office manager to ensure stock is moving through - alerting colleagues to incoming deliveries, sending samples back to warehouse, ensuring storeroom stocked up with flat pack boxes and labels.
7. Responsible for weekly orders of consumables for all UK sites, including stationery, refreshments
8. Management and booking of all incoming/outgoing local, national & international deliveries, cross collaborating with warehouse and logistic departments.
9. Supporting in creating a safe, secure environment - one of office fire wardens, being aware of any safety hazards and flagging to office manager on office walks
10. Assist with the organising of company and guest events, research tasks, product sourcing
11. Day to day management of car pool process, signing cars in and out, supporting with driver checks, managing key sign out/process.
12. Supporting and delivering staff sample sales
13. Management of multiple inboxes.
