Offer description

Invision are seeking a highly organized and detail-oriented Office Administrator to support the administrative operations of a 50 million turnover business who operates within the Construction sector. The ideal candidate will assist in managing project documentation, maintaining office organization, and providing general administrative support to ensure the smooth operation of construction projects.

Key Responsibilities:

* Provide administrative support to project managers, site supervisors, and other construction staff.
* Manage day-to-day office operations including answering phones, emails, and handling inquiries.
* Prepare, format, and distribute project documentation, including contracts, purchase orders, and timesheets.
* Coordinate and schedule meetings, site visits, deliveries, and inspections.
* Maintain up-to-date records of project files, permits, insurance documents, and safety compliance documentation.
* Track and order office and site supplies and ensure inventory is managed efficiently.
* Liaise with subcontractors, suppliers, and clients as required.
* Input data and assist with construction management software systems.
* Assist with payroll processing and submission of timesheets.
* Perform other administrative duties as needed to support the project and office team.

Preferred Experience:

* A business or administrative related diploma or equivalent; additional administrative or construction-related qualifications would be desirable but not essential.
* Proven experience in an administrative role, preferably within the construction or engineering industry.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting or construction management software.
* Excellent communication and organizational skills.
* Ability to multitask, prioritize work, and meet deadlines.
* Strong attention to detail and accuracy.
* Ability to work independently and collaboratively with a team.
