An exciting opportunity has arisen for a motivated, proactive, and highly organised individual to take on the role of Band 4 Administrative Team Lead and PET-CT Lead within the Nuclear Medicine Department, Swansea Locality, Swansea Bay University Health Board. This key leadership role will coordinate administrative services across PET-CT, SPECT, and DXA, supporting safe and efficient diagnostic pathways.
The postholder will provide day-to-day operational oversight of the administrative team, ensuring the smooth running of reception and booking functions. This includes workforce allocation, real-time management of staffing across three reception areas, and maintaining service continuity.
The successful candidate will oversee accurate patient scheduling, prioritisation, and compliance with complex preparation requirements, particularly within time-critical PET-CT pathways linked to radiopharmaceutical delivery and cancer standards. The role will also ensure high-quality patient communication and support.
A key aspect of the post is specialist administrative leadership for PET-CT, including pathway coordination, performance monitoring, and multidisciplinary collaboration. The postholder will also support the rollout and ongoing development of the static PET service by embedding new processes, training staff, and supporting service transformation.
This role is essential to maintaining a resilient and patient-focused Nuclear Medicine administrative service.
Main duties of the job
The postholder will be a senior member of the Nuclear Medicine administrative team, providing operational oversight and coordination of administrative services across PET-CT, DXA, and imaging sections at Singleton Hospital. The role will support safe, efficient, and patient-centred pathways, ensuring patients receive clear and timely information and that preparation requirements for complex investigations are met.
The postholder will oversee the day-to-day running of reception and booking services, supervising staff, managing workload distribution, and responding to short-notice staffing pressures to maintain service continuity and patient flow. The role will support the scheduling of a high volume of patient appointments, ensuring prioritisation, accuracy, and compliance with departmental and national standards.
The successful candidate will provide specialist administrative leadership for PET-CT, coordinating time-critical cancer pathways, liaising with clinical and multidisciplinary teams, and aligning appointments with radiopharmaceutical delivery. The postholder will also support the rollout and development of the static PET service, embedding new processes, developing standard operating procedures, and supporting service transformation.
The role includes responsibility for training, supervision, and competency development of administrative staff to ensure high standards in referral management, data quality, and communication.

Qualifications and Knowledge
Essential criteria
1. BTEC Diploma, NVQ 3 or equivalent training/experience.
2. Requires an in-depth knowledge and understanding of Legislation that directly affects the Patient Pathway Team such as: Health Board Policies and procedures in relation to Sickness Absence, Maternity and Special Leave, etc. General Data Protection Regulation (GDPR) The Access to Health Records Act 1990 and the Freedom of Information Act 2000.
3. Good standard of Education (GCE level or equivalent)
4. Familiar and confident using e-mail and Microsoft IT packages such as Word and Excel.

6. Previous clerical/administration experience within a service where data input forms a significant part of the workload
7. Excellent IT skills with ability to use a range of packages especially Excel.
