Working as part of a team the post holder will support the provision of a comprehensive secretarial and administrative service to the Consultant Psychiatrists and junior medical staff within teams, to allow the smooth and efficient performance of clinical duties and make a direct and positive contribution to the work of the team. The post holder must organise their own workload with defined guidelines. Advice is available as necessary.
Main duties of the job
Job duties
* Word processes clinical letters/ discharge summaries, clinical papers and material for publication as required, from either audio or copy typing. Creating correspondence as appropriate from predefined templates.
* In the absence of the Medical Secretaries assist with the management and updating of the diaries of the medical staff and arranging appointments and meetings if required, locating a suitable venue and informing attendees.
* Responsible for the tracking and retrieval of notes within the service.
* To liaise with other Medical/Nursing and administration staff within the Trust as appropriate.
* Use judgement and initiative to prioritise the importance/urgency of particular requests with the team.
* Provide cover for colleagues during their absence.
* Assist the Medical Secretary in dealing with incoming correspondence and facilitating prompt action on results/reports.
* Assist the Medical Secretary in maintaining administrative systems/databases for data collection for audit purposes where appropriate.
* Assist the Medical Secretary in providing guidance and direction to new Junior medical staff from an administration perspective e.g. content/layout of letters etc. working from defined guidelines.
* To undertake any other specific duties in accordance with Trust policies and procedures to facilitate the patient pathway in liaison with the specialityCo-ordinator.

Qualifications/Training
* GCSE English Language Grade C or equivalent (evidence required).
* GCSE Mathematics Grade C or equivalent (evidence required).
* RSA II Typing/Word Processing or equivalent qualification or recent equivalent level of demonstrable experience
* Customer Care / Customer Service Training / or demonstrable experience

* Good standard of spelling and grammatical accuracy.
