To provide a comprehensive booking service for the Centralised Outpatient Services booking team, including:
1. Booking of all new patients
2. Management of patients awaiting follow-up
3. Administration related to clinic management (such as rescheduling due to leave)
4. Management of bookings through the eReferrals platform (such as ASI)
5. Management of patients on a pending appointment list
6. Maintenance of access plans and support to Outpatient Call Handlers
The Administrator will oversee the daily operations of the booking service within the Centralised Booking team, prioritising requests to ensure appointments are scheduled based on urgency and available resources, while complying with the Patient Access Policy, RTT Guidelines, NHS Guidelines, and Trust/Departmental Policies.
Responsibilities include:
1. Placing patients on waiting lists with appointment dates within the agreed timescales per Trust Policy
2. Collaborating with line managers and specialty leads regarding booking issues
3. Participating in weekly scheduling meetings with prepared data
4. Offering the earliest available appointment dates, considering cancellations
5. Recording and adhering to RTT pathway guidelines accurately
6. Notifying patients of appointments via telephone where possible
7. Sending timely paperwork to patients
8. Responding promptly to clinic cancellations and rescheduling patients
9. Updating clinic guidelines regularly for each specialty
10. Monitoring eReferrals lists regularly as per department process
11. Supporting shift flexibility due to leave or sickness
12. Participating in process redesign and piloting new procedures
13. Maintaining high-quality work and encouraging team standards
14. Reporting performance data using spreadsheets
15. Assisting with performance reports and spreadsheets
16. Covering call centre duties during high demand or staff shortages
17. Engaging in personal development and mandatory training
18. Performing additional duties as required, with flexibility for service needs
