Job Description

Olympus Corporation of the Americas (OCA) distributes a wide range of medical and surgical devices used to diagnose and treat diseases. The OCA Professional Affairs department educates health care providers on the safe and effective on-label use of those products and related clinical topics through Olympus Continuum courses and online educational learning experiences. Additionally, the department supports the equipment operations and onsite needs for independent Third-Party medical education Workshops supported by the Olympus Grants department.

Olympus Grant Workshops are 3rd party medical education programs related to conditions or treatments for which Olympus products are used. The Equipment Operations team is responsible for logistics, staffing and equipment operations for Olympus Grant Workshops in line with all policies and procedures.

This position is responsible for planning, implementing, and execution of all assigned in-kind equipment Grant Workshops. This includes but is not limited to interpreting station objectives, identifying the applicable Olympus equipment based on those objectives, creating equipment lists, course logistics, obtaining onsite support, ensuring successful execution of the Workshop, and ensuring that the Workshops are in line with compliance and legal guidelines.


Job Duties

* Plan, implement, execute, and gather feedback of assigned in-kind product Grant event generally with a focus on smaller, less complex programs.
* Use medical device equipment knowledge in all business units to request and review equipment needed to support educational objectives for 3rd party in-kind product at educational grant event. Continue to expand medical equipment/product knowledge.
* Navigate network of regulations, standards, and compliance requirements to ensure the safety and efficacy of the products needed to support the 3rd party in-kind product grant event.
* Manage planning and execution of approved product Grant event, inclusive of:
o Following product Grant event processes and procedures to adhere to all deadlines and deliverables.
o Working collaboratively with the Clinical Education Team, Asset Management, 3rd Party Requestors, Marketing, Sales and OCA Grants to fulfill equipment grant request.
o Responsible for ensuring accuracy and completeness of Olympus products, models, and non-inventory items ordered for product grant events. Creating and delivering relevant station options.
o Identifying and requesting Olympus staff needed to support onsite for the product Grant event.
o Ensuring the assigned onsite support are prepared to compliantly and successfully execute product Grant event and all Olympus products and items are properly inventoried and returned.
o Managing logistics of product Grant event, including the timing for delivery and pickup of equipment. Ensuring appropriate equipment is shipped.
o Supporting onsite lead with logistics and equipment management for product grant event. Resolving and documenting all issues that occur.
* Understand and interpret compliance and legal guidelines regarding the product Grant event. Ensure compliance guidelines are communicated and met in the planning and execution of product Grant event. Identify compliance and/or legal risks. Report issues as directed.
* Support in-kind equipment at product grant events as the onsite lead as needed.
* Perform all other related duties as assigned.


Job Qualifications

* Required:
o Associates degree or relevant equivalent experience required.
o External: Minimum of 2 years of experience in a combination of office administration, project coordination, event planning and execution, and operational/analytical/logistics role is required. Minimum of 2 years’ experience working with medical devices.
o Internal: Minimum of 1 year of Olympus experience in marketing, clinical, asset mgmt., or sales role working with medical devices.
o Proven ability to manage multiple projects involving numerous internal and external stakeholders.
o Exceptional organizational and process-management skills with ability to multi-task.
o Skilled with Microsoft Office applications.
o Travel including overnight, weekend, and international travel is required. Approximately 10% of time is spent travelling for internal training and meetings with a potential increased travel schedule during busier seasons.
o Candidate must be comfortable working in a training environment in which human cadavers, live animals, animal tissue and other synthetic tissues are being used in a humane way to support training needs.

Benefits and Compensation

The anticipated base pay range for this full-time position working at this location is $28.00 - $37.80 / hour, plus potential for annual bonus (subject to plan eligibility and other requirements).
