Overview
The Severn Trauma Manager (Network / MTC) role supports the Network Manager, Clinical Director and other Network Leads to achieve the Severn Major Trauma Operational Delivery Network (ODN) aims and objectives. It is a fast-paced, dynamic team position requiring coordination and administrative support in a challenging clinical environment, managing multiple tasks and prioritising to meet deadlines. The post holder will manage Network data and information, administer the ODNs core functions, and develop expert knowledge of system processes. The role also coordinates all Severn Trauma Network meetings (e.g., Network Executive Board, Network Advisory Group) and other events.
Responsibilities
* Provide efficient and timely administrative support to the Severn Major Trauma Network team, including the Clinical Director, Clinical Governance Lead, Rehabilitation Director, Lead Nurse/AHP, Severn Trauma Manager (Network/MTC) and Training and Education Lead.
* Coordinate all meetings for the Severn Trauma Network (Network Executive Board, Network Advisory Group, Rehabilitation Advisory Group, Network Frailty Group) and any new groups; anticipate and prepare papers; circulate agendas and minutes; manage actions and follow up.
* Prepare materials, slides and presentations for meetings and conferences using software such as spreadsheets; attend meetings and take formal or informal minutes as required.
* Organise general event management (workshops, meetings) including venue booking, catering, presentation equipment and liaison with presenters.
* Maintain Network logs/registers (Training, Risk, Governance Issues, Policies and Change Control) and update information leaflets, website content and newsletters as directed; collate and edit submissions for each edition.
* Participate in interdisciplinary discussions, relay good practice and areas for improvement to appropriate groups to ensure high standards of management, patient experience and service delivery within the network.
* Undertake general office tasks (stationery orders, course bookings, travel and accommodation) and work on own initiative within strategic network aims.
* Support work-stream leads in developing improvement projects (e.g., scoping and establishing task and finish groups); prioritise duties as directed by network leads.
* Finance and Resources: place and receipt orders; manage invoices for prompt payment in collaboration with Trust finance within allocated budget.
* Information Resources & Data Coordination: obtain information for Trauma Audit & Research Network (TARN) to support performance reporting and benchmarking; manipulate data to produce board-quality reports including charts and trend analysis; collate TARN reports across member Trusts; liaise with TARN for special reports or data capture for research projects; act as central support for research or audit data collection.
* Governance: maintain the Network Governance Issues register and monitor case status; coordinate responses with Clinical Governance Lead; assist in redesign of trauma documentation and Network documentation as needed; administer governance meetings (MS Teams/teleconference) and support national peer review processes.
* Communication: act as contact and liaison point for the Network team; handle enquiries professionally; maintain distribution lists; ensure effective electronic communications across the Network, including newsletters, meeting minutes, content management on the Network website and social media; ensure information is current and accurate across services, policies, SOPs and contacts; support disease training and education communications.
* Develop relationships with other trauma networks and external organisations to ensure effective communications; liaise with coroner’s office, Ambulance Services and other NHS providers as relevant.
* Other duties: use initiative to overcome problems, escalate issues when needed, comply with Data Protection Act and Information Governance; work is mainly office-based with DSE considerations; some travel locally, regionally and nationally; a valid driving licence is required.
Qualifications / Requirements
* Organisation and planning skills are essential; involvement in a broad range of tasks including project work, reporting (data, diagrams, graphs), and diary management.
* Experience in providing administrative support in a complex environment; ability to work with clinical and governance stakeholders.
* Proficiency in preparing reports and handling data; able to draft letters and reports; ICT skills including Microsoft PowerPoint, Word, Excel (including pivot tables); familiarity with bespoke clinical systems and content management systems; ability to upload and manage website content.
* Experience of minute-taking, agenda preparation, and action tracking; ability to work to tight deadlines and manage multiple priorities.
* Excellent communication and liaison skills; ability to interact with a wide range of internal and external stakeholders; commitment to inclusive, anti-discriminatory practice.
* Travel and site requirements as part of the role; up-to-date driving licence required.
