The Role This pivotal role involves curating and coordinating bespoke services and experiences for our guests before their arrival. The ideal candidate will possess exceptional organisational skills, a deep understanding of luxury service standards, and a passion for delivering personalised guest experiences. Key Responsibilities Serve as the primary point of contact for guests before their arrival, ensuring all pre-arrival communications are handled promptly and professionally. Collect detailed information from guests regarding their preferences, special requests, and any specific needs to tailor their experience. Create and coordinate bespoke itineraries, arrangements and activities, including airport transfers, ski passes, private and/or group ski lessons, après-ski activities, dining reservations, massages and childcare, upselling through our key partners. Liaising with guests, PAs and third party OTAs to make all the pre-arrival arrangements for the guest’s holiday - with a particular focus on commissionable revenue-generating extras. Input detailed clear information onto our CRM platform, in order to prepare detailed itinerary documents to be sent to guests and property managers prior to travel. Maintain strong relationships with suppliers to maintain the best experiences and services for guests and to ensure high standards are consistently met. Ensuring our team in Verbier has all the required information to provide the best experience for our guests when they arrive - working closely with guest relations managers, chalet managers, chefs and our logistics team. Work closely with the Chalet Management and Concierge teams to ensure that all guest requests and preferences are communicated clearly and efficiently. Provide detailed handovers to the on-site team to ensure a smooth transition from pre-arrival planning to on-site service. Administrative Duties Upselling and cross-selling. Preparing quotes and confirming reservations for individual and group arrangements Maintain accurate records of guest preferences, requests, and special arrangements Prepare detailed reports on pre-arrival activities and guest satisfaction metrics Know our properties, Verbier and our key partners’ service like the back of your hand; including updating service and pricing information internally. Preferred Experience and Qualifications Education: Graduate level or equivalent Experience in luxury hospitality Knowledge of Verbier, and the ski industry Exceptional organisational abilities Strong communication skills Experience using Hubspot or another CRM system Excellent written and spoken English; French is an advantage.
