Medical receptionist/Practice administrator
Orchard Surgery in Melbourn is seeking a dynamic forward‑thinking receptionist / practice administrator to support the busy reception and clinical team.
The administrative and reception team are a very friendly supportive team ensuring that the daily running of the surgery is as smooth as possible, along with ensuring the best possible care and support for our patients.
The role will include covering for the secretary when needed, so some secretarial experience would be an advantage, along with at least 2 years administrative experience. This is a new role and has scope to develop depending on the post holder's skills.
Main duties of the job
To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties include greeting and directing patients, effective use of the appointment system, booking appointments, processing information, assisting patients as required, acting as the central point of contact for doctors, patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers, and filling in for the secretary when needed.
The following are the core responsibilities of the post. There may be on occasion a requirement to carry out other tasks, such as cover for the secretary; this will be dependent upon factors such as workload and staffing levels:
* Maintaining and monitoring the practice appointment system
* Process personal, telephone and e‑requests for appointments
* Answer incoming phone calls, transferring calls or dealing with the callers' request appropriately
* Signpost patients to the correct service
* Initiating contact with and responding to requests from patients, team members and external agencies
* Add data onto the clinical system
* Photocopy documentation as required
* Data entry of new and temporary registrations and relevant patient information as required
* Input data into the patient's healthcare records as necessary
* Deal with requests for information, i.e. SAR, insurance/solicitors letters and DVLA forms where applicable
* Ensure referrals are sent within timescales
* Manage all queries, including those for the secretary when needed, as necessary in an efficient manner
* Carry out system searches as requested
* Maintain a clean, tidy, effective working area at all times
* Monitor and maintain the reception area and notice board
* Support all clinical staff with general administrative tasks as requested

Person Specification
Experience
* Experience in working with the general public
* At least 2 years experience in an administrative / secretarial role
* Excellent communication skills with experience of taking minutes
* Competent in using Microsoft Office and Outlook
* Experience in working in a health care setting / GP practice
* Experience in using SystmOne
Qualifications
* Educated to A level or equivalent
* GCSE Mathematics and English level 5 or above
* NVQ level 2 in health & social care
