We are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to the President and Principal of this university, based in East London. This role is pivotal in ensuring the smooth operation of the office and requires a candidate who can manage complex schedules, handle sensitive information, and communicate effectively with various stakeholders.
Day-to-Day Responsibilities:
* Provide executive assistance to the President and Principal, acting as the first point of contact for all communications.
* Manage and maintain complex appointment systems and electronic diaries for the President, Principal, and Chief of Staff.
* Prepare comprehensive day-files, including briefing notes and other materials, in collaboration with the Executive Officer.
* Assemble and analyse data, prepare reports, communications, and presentations under the supervision of the Executive Officer.
* Use judgement and initiative to manage correspondence and enquiries, responding on the Principal’s behalf where appropriate.
* Coordinate travel, hospitality, and room bookings, including detailed itineraries for international trips.
* Undertake financial administration in compliance with the University’s financial regulations.
* Support meetings by compiling agendas, confirming and circulating papers, writing minutes, and monitoring actions.
* Work collaboratively with the Business Manager to manage the Principal’s budgets and ensure a professional service is delivered by the Principal’s Office.
* Maintain office systems and filing, ensuring integration with the rest of the Principal’s Office.
* Provide support for special events and act as a mentor for other executive assistants within the University.
Required Skills & Qualifications:
* Proven experience as an Executive Assistant or similar role, preferably within an educational or complex organisational setting.
* Excellent organisational and time-management skills.
* Strong communication and interpersonal skills, capable of working effectively with all levels of staff and external stakeholders.
* Proficiency in managing electronic diaries and appointment scheduling.
* Competence in financial administration and managing budgets.
* Ability to handle confidential information with discretion.
* Flexibility to work off-campus and outside regular working hours as needed.
* Proficiency in office software, including MS Office, and experience with university systems such as Salesforce would be advantageous.
