A busy, progressive medical practice based in Edinburgh is looking to appoint an enthusiastic, friendly and motivated Modern Apprentice in a Medical Administrator role. This is a varied role that will see you offering a range of patient care activities, including receiving, assisting and direct patients in accessing the most appropriate service or healthcare professional in a courteous, efficient and effective way.


Responsibilities

* Patient/Customer Care: greet patients and visitors in a friendly and courteous manner; offer general assistance to the practice team and project a professional, positive image; facilitate effective communication between patients, members of the primary health care team and secondary care; liaise with district nurses, midwives and other professionals within community teams on behalf of patients; ensure an effective and efficient service is provided to patients and any other visitors to the Practice; play an active role in the co‑ordination and review of patient surveys; offer solutions and actively listen to patients to resolve issues; deal with complex and sensitive issues; receive specimens for laboratory analysis and advise patients of their test results on request; arrange patient transport as directed.
* Operations: process telephone requests for appointments, visits and telephone advice; receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way; deal with all general enquiries, explain procedures and make new and follow‑up appointments; use your own judgment and communication skills to ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non‑disruptive manner; book appointments ensuring sufficient information is recorded; monitor flow of patients into consulting and treatment rooms; maintain and monitor the practice appointments system, adding clinics and amending slots as directed; collate patient data as directed; advise patients of relevant charges for private services, accept payment and issue receipts; receive requests for repeat prescriptions from patients, pharmacy and care home staff and process these in a timely and accurate manner; dispose of prescription enquiries that other members of staff are unable to answer from patients and local pharmacists.
* Other tasks: explain practice arrangements and formal requirements to new patients and those seeking temporary cover; ensure all registrations including new, immediately necessary and temporary residents are registered onto the computer system promptly and accurately; keep the reception area free from obstructions and clutter; keep the office well‑stocked with stationery and other supplies; maintain a thorough knowledge of all practice procedures and work in accordance with written protocols; ensure building security; undertake a variety of EMIS tasks to assist in the smooth running of the practice; contribute to the development and improvement of services to patients; assist colleagues in learning new procedures and offering support across the team; act as a mentor and/or buddy for new team members and apprentices within the team; assist the team leader with induction and training.
* Confidentiality: maintain confidentiality, security and integrity of information relating to patients, staff and the business; access to confidential information must be regarded as strictly confidential; any breach of confidentiality will be regarded as gross misconduct.
* Equality and Diversity: positively support the equality, diversity and rights of patients, carers and colleagues; recognise and respect the privacy, dignity, needs and beliefs of patients, carers and colleagues; behave in a manner which is welcoming, non‑judgemental and respectful.
* Personal/Professional Development: participate in any training programme implemented by the practice; attend annual individual performance reviews; take responsibility for own development, learning and performance.
* Health and Safety: assist in promoting and maintaining health, safety and security as defined in the practice health & safety policy and manuals.
* Communication: recognise the importance of effective communication within the team; communicate effectively with team members, patients and carers; recognise people’s needs for alternative methods of communication and respond accordingly.
* Quality: maintain and improve quality within the practice; alert other team members to issues of quality and risk; assess own performance and take accountability for own actions; contribute to the effectiveness of the team by reflecting on own and team activities.
* Contribution to Implementation of Services: apply practice policies, standards and guidance; discuss with other members of the team how the policies and standards affect own work; participate in audit where appropriate.


Key Skills & Qualities

* Motivation, keen to learn, good at communicating with a range of people; confident to respond to challenges and patient queries.
* National 5 qualifications, particularly in English, Mathematics and Business and Administration, desirable but not essential.
* Good communication and interpersonal skills are important.
* Previous customer service experience desirable but essential that you have an understanding of good customer service.
* Enthusiasm and a 'can do' attitude; willing to learn and work hard.
* Ability to work well as part of a team.
* Time management is key – manage duties and SVQ work between busy GP practice team and your studies.
* Ability to maintain confidentiality when working with sensitive information.
