This is an office-based role in our Wembley office, Monday to Friday, 8:30 am – 5:00 pm (with future hybrid working potential).

We are seeking a charismatic, highly organised and commercially astute Executive Assistant to support the CEO of an international medical organisation. This pivotal role blends traditional executive support with strategic commercial coordination, operational rigour and personal assistance as trust builds.
The Executive Assistant will act as the CEO’s trusted partner—driving efficiency, improving communication flow, supporting key commercial activities, and ensuring the CEO’s time, priorities and commitments are effectively managed. The role requires a proactive, forward-thinking individual who thrives in a fast-paced environment, anticipates needs, and takes ownership of delivering smooth operational, organisational and commercial outcomes.
The CEO brings his lovely little dog to the office each day, so being dog-friendly is essential.
There will also be opportunities to support the CFO, HR Manager and wider leadership team where required.
ROLE & RESPONSIBILITIES
1. CEO SUPPORT & EXECUTIVE OPERATIONS
• Proactive, pre-emptive management of the CEO’s demanding diary, ensuring effective prioritisation.
• Full inbox management and acting as a primary point of contact for stakeholders.
• Ensure preparation for all meetings with high-quality briefing documents.
• Represent the CEO when he is unavailable.
• Draft correspondence, briefing notes and written communication.
• Track meeting actions and support Board-level materials and reports.
2. COMMERCIAL & STRATEGIC SUPPORT
• Maintain the CEO’s commercial cadence and track goals and strategic priorities.
• Attend leadership and commercial meetings to support cross-functional collaboration.
• Liaise with commercial, clinical, operational and business development stakeholders.
• Prepare commercial reports, board packs, investor materials and data insights.
• Identify issues early, propose solutions and escalate where appropriate.
• Build internal relationships to enhance workflow, visibility and alignment across teams.
3. MEETING, COMMUNICATION & INFORMATION MANAGEMENT
• Coordinate agendas, board packs, minutes and required follow-up actions.
• Proofread and sense-check communications and ensure accuracy, clarity and brand alignment.
• Communicate priorities effectively between the CEO’s office and stakeholders.
• Manage highly confidential and sensitive information with absolute discretion.
4. TRAVEL, LOGISTICS & OPERATIONS
• Arrange complex international and domestic travel, itineraries and logistics.
• Coordinate accommodation, conference bookings and executive travel plans.
• Oversee hospitality for visitors and prepare meeting rooms.
• Process expenses, invoices and receipts accurately and in line with policy.
5. PERSONAL ASSISTANCE & LIFESTYLE SUPPORT
• Assist with household and property administration, utilities and contractor oversight.
• Complete personal tasks and errands discreetly and efficiently.
• Provide occasional dog walking for the CEO’s lovely little dog.
ESSENTIAL CRITERIA
• 3–5 years’ experience supporting a CEO or senior C-suite leader.
• Strong commercial awareness and financial/numerical literacy.
• Tech-savvy and confident managing international time zones.
• Strong analytical and problem-solving skills.
• Professional, proactive, empathetic and collaborative style.
• Dog-friendly and comfortable with a small, friendly office dog.
• Experience supporting commercial/business development functions.
DESIRABLE CRITERIA
• Experience in healthcare, medical, scientific or regulated sectors.
• Experience in international or fast-growth environments.
• Advanced Microsoft Office skills.
• Knowledge of GDPR and compliance frameworks.
• Formal EA/PA qualifications (e.g., ACEA, Executive Assistant Diploma).
