Position Summary
The Planning Coordinator will be part of the team responsible for the administration of projects, resources, and the associated financial management processes within MedPharm. This includes responsibility for global data entry in the resource management system and supporting new resourcing initiatives.
Essential Functions
1. Input of new scientific timelines and resource numbers into the planning management system according to technical proposals and cost workbooks.
2. Support the day-to-day operation of project management software, including setting up/disabling user accounts, changing user access rights, logging and resolving user queries, and updating capacity and headcount.
3. Entry of current financial data from Salesforce into the planning management system.
4. Administer and maintain weekly SharePoint updates and communicate a live operations schedule across multiple projects to meet client milestones.
5. Perform timeline updates on weekly requests, ensuring changes are documented with appropriate reasons.
6. Audit project data in the planning system and address issues promptly or escalate to the Senior Director.
7. Collaborate with project management and internal departments to resolve resource conflicts.
8. Maintain templates within the planning management system.
9. Ensure all project information is accurately entered and updated in the software.
10. Generate and provide key management reports, including developing report templates, dashboards, and KPIs.
11. Identify opportunities for process efficiencies using data analytics or other software tools.
Education and Experience
* Scientific background preferred; laboratory experience advantageous but not essential.
* Experience with Microsoft Project or Power BI is beneficial.
* Experience in planning or resource management is an advantage.
Knowledge, Skills, and Abilities
* Proficient in Microsoft Excel.
* Strong attention to detail and accuracy.
* Excellent verbal and written communication skills.
* Ability to prioritize tasks effectively.
* Logical and analytical approach to work.
Physical Demands and Work Environment
Constant sitting may be required.
