Houghton Close Surgery is looking to appoint an experienced office manager to lead our administrative team and assist the practice manager in running the surgery. The role is offered on a part‑time basis, for 28 hours per week, worked in the following pattern:
In addition, flexibility is required for taking early morning and evening calls, in the event of staff sickness. The office manager will lead the day‑to‑day operational management of the practice, ensuring safe, efficient and patient‑focused service delivery, particularly in relation to the admin team, access, triage and work‑flow systems.
Main duties of the job
* The overall responsibility for the day‑to‑day running of the administrative team, including team development and training
* Providing solid leadership, based on a sound knowledge of SystmOne, access, triage and admin policies and protocols
* Co‑ordinating and leading the operational delivery of the services in the practice, engaging with staff, patients and local commissioners
* Monitoring demand and appointment capacity
* Management of admin rotas
* Running the patient participation group on behalf of the surgery
* Handling patient enquiries and suggestions, including oversight of the practice‑based complaints procedure in conjunction with the practice manager
* Handling practice publicity and health education materials
* Being involved in managing the computer system

Qualifications
* Educated to A level or equivalent
Experience
* At least 3 years' GP experience
* Detailed and up‑to‑date knowledge of SystmOne, triage and patient access
* Prior experience of supervision and personnel management, ideally within a healthcare setting
* Self‑motivated, with a forward‑thinking, solution‑focused approach
* The ability to develop, implement and embed policies, procedures and guidelines
* Experience of working in an ever‑evolving environment, with an ability to cope with regular change
* Excellent organisational, management and planning skills, IT and communication skills
* Ability to implement and manage change effectively
* Ability to identify training and development needs in self and others, as well as experience of appraising staff
£31,775 to £37,183 a year, WTE depending on experience
