Job Title: Church Operations and Development Lead

Reporting To: Senior Pastor

Location: Holy Ghost Zone Coventry, 8 Albert Street, Coventry, CV1 5HA

Hours: Part-time, 21 hours per week (e.g., 3 days, specific working days and hours to be agreed). Some flexibility to work evenings or weekends for specific church events or meetings may be required.

Salary: £15,600 - £18,000 per annum (actual salary for 21 hours per week, based on a Full-Time Equivalent of £26,000 - £30,000, dependent on experience).

1. Job Purpose

To ensure the smooth, efficient, and compliant running of all church operations at Holy Ghost Zone Coventry, creating a supportive and well-managed environment for ministry and community activities. Simultaneously, to proactively lead on the development and implementation of income-generating strategies and initiatives that will secure the church's financial sustainability and support its mission and growth within the Coventry community.

This role is designed to provide the operational backbone and the developmental impetus essential for Holy Ghost Zone Coventry to fulfil its calling effectively.

2. Key Responsibilities

The responsibilities of this role are divided into key functional areas, reflecting its hybrid nature.

2.1. Operations Management (approx. 50-60% of role)

* Premises & Facilities Management: Oversee the day-to-day management, maintenance, security, and usage of the church building at 8 Albert Street and any associated facilities. This includes liaising with contractors, managing supplier agreements (e.g., cleaning, utilities, repairs), and ensuring facilities are fit for purpose and welcoming.
* Administration & Office Management: Efficiently manage all church office systems, including the church's CRM system (Excellerate), communication channels (email, telephone, postal mail), and comprehensive record-keeping in line with data protection regulations. Oversee the procurement and inventory of office supplies and equipment.
* Health & Safety and Compliance: Act as the lead for ensuring the church complies with all relevant legislation and best practice. This includes Health & Safety regulations, fire safety, food hygiene standards (if applicable), GDPR, and broader charity regulations. Responsibilities include developing and maintaining relevant policies, conducting regular risk assessments, and managing the church's insurance policies.
* Volunteer Coordination & Support: Play a key role in recruiting, inducting, supporting, and coordinating volunteers involved in the operational aspects of church life (e.g., welcome duties, site maintenance, administrative support, hospitality).
* IT & Systems Management: Oversee the effective use and maintenance of the church's IT systems, software applications (including Excellerate), and office equipment. This may include managing website updates and ensuring the functionality of audio-visual (AV) systems.
* Church Services & Events Logistics: Provide robust logistical support for Sunday services, mid-week activities, special events, weddings, and funerals, ensuring all necessary resources and room setups are in place.

2.2. Business Development & Income Generation (approx. 40-50% of role)

* Strategy Development & Implementation: In collaboration with the Senior Pastor and church leadership, develop, implement, and regularly review an overarching income generation strategy aligned with Holy Ghost Zone Coventry's mission and values.
* Fundraising & Grant Applications: Proactively research and identify suitable grant-making trusts, foundations, and other funding bodies. Prepare and submit high-quality, compelling funding applications. Develop and manage other fundraising initiatives as appropriate.
* Commercial Activities & Asset Utilisation: Explore, develop, and manage opportunities for income generation through the effective utilisation of church assets, such as managing the hire of church spaces to community groups and external organisations.
* Partnership Building & Donor Stewardship: Identify, cultivate, and maintain positive relationships with local businesses, community organisations, individual donors, and other potential partners. Implement effective stewardship practices.
* Marketing & Promotion of Activities: Effectively promote the church's income-generating activities and community programmes to attract support and engagement.
* Monitoring, Evaluation & Reporting: Establish systems to track income generation performance against agreed targets. Provide regular reports to the Senior Pastor and church leadership.

2.3. Financial Administration Liaison

* Liaise effectively with the church's finance/accounting team regarding operational expenditure and income generation activities.
* Support the finance/accounting team by providing necessary information for budgeting processes related to operational expenditure and income generation.
* Assist the finance/accounting team by ensuring accurate information is provided for invoicing (e.g., for hall hire) and processing supplier payments, maintaining clear records for income and expenditure.

2.4. Communications & Stakeholder Engagement

* Support the development and delivery of effective internal and external communications, contributing to newsletters, website content, and social media updates.
* Act as a professional and welcoming key point of contact for the congregation, community users, suppliers, hirers, and partner organisations.

3. Person Specification

3.1. Essential Experience

* Proven experience in an operational management role, ideally within the charity, faith, or community sector.
* Demonstrable experience in income generation, fundraising, or business development, with a track record of contributing to financial targets or developing new income streams.
* Experience in liaising with finance teams and understanding financial administration processes.
* Practical experience in premises or facilities management.
* Experience of working with, supporting, and motivating volunteers.
* Proven ability to develop, implement, and improve administrative systems and operational procedures.
* Experience using CRM systems, with experience of Excellerate being highly advantageous.

3.2. Essential Skills and Knowledge

* Strong organisational, planning, and time-management skills, with the ability to manage multiple priorities and meet deadlines.
* Excellent interpersonal and communication skills (written and verbal), with the ability to build effective relationships with diverse stakeholders.
* Proficiency in using IT, including Microsoft Office suite and CRM systems (e.g., Excellerate).
* A good understanding of operational financial processes and the ability to liaise effectively with finance personnel.
* Working knowledge of key compliance areas for charities/churches (Health & Safety, GDPR, safeguarding principles).
* Ability to think strategically and creatively to identify and develop new opportunities.
* A self-motivated, proactive approach, with the ability to work independently and collaboratively.

3.3. Essential Personal Attributes and Faith Commitment

* A committed and practising Christian, with a personal faith in Jesus Christ and an understanding of, and sympathy with, the mission, values, and ethos of Holy Ghost Zone Coventry. This is an Occupational Requirement for this role under the Equality Act 2010, Schedule 9, Part 1. This requirement is crucial as the post-holder will need to embody and promote the Christian ethos of the church in their operational leadership and development activities.

3.4. Desirable

* Experience working within a Pentecostal church setting or similar.
* Relevant formal qualifications in management, business administration, or fundraising.
* Knowledge of the local Coventry and Warwickshire charity, community, and business sectors.
* Experience in event planning and management.
* A full UK driving licence.
