Reports to: Director of Global Events Location: London-based (hybrid role with remote work, in-person support, and international travel) Commitment: Full-time Start Date: As soon as possible Role Overview The John Locke Institute seeks a highly capable, discreet, and proactive Personal Assistant to support the Director of Global Events across both professional and personal domains. This is a hybrid role combining: A mix of remote work, in-person support in London (including at the Director’s residence when required), and international travel A blend of executive assistance and personal support responsibilities The role requires someone who brings strong organisational discipline, attention to detail, and a people-first mindset. The successful candidate will ensure that the Director’s time is protected, prioritised, and optimised, and that both professional and personal environments run seamlessly and efficiently. The Personal Assistant will act as a trusted gatekeeper and representative, interfacing professionally with senior stakeholders and ensuring that all interactions reflect the highest standards of discretion, care, and professionalism. Key Responsibilities Executive & Strategic Support Coordinate and optimise workflow across multiple projects and time zones Prepare briefing materials, schedules, and background documents Provide hands-on support during programmes and international travel Manage sensitive matters with absolute discretion Correspondence & Communications Manage inbox and communications efficiently and proactively Draft, review, and send professional correspondence Act as a point of contact on behalf of the Director when appropriate Represent the Director professionally when interfacing with senior stakeholders Coordination & Delivery Coordinate internal teams and external partners Track timelines, priorities, and deliverables Support event planning and execution to a high standard Diary, Travel & Logistics Own and manage a complex and dynamic calendar Coordinate international travel, itineraries, and logistics Anticipate and resolve scheduling conflicts and last-minute changes Personal Support Manage personal logistics and household coordination with discretion Liaise with service providers (property, travel, appointments, etc.) Oversee personal errands and logistics Provide in-person support in London, including attending the Director’s residence when required Ensure personal organisation and day-to-day logistics run smoothly Qualifications & Experience Previous experience in a PA/EA role supporting senior stakeholders Experience operating in fast-paced and/or international environments Degree advantageous Skills & Attributes for Success Exceptional discretion and professionalism Highly organised with strong attention to detail Proactive, resourceful, and solutions-driven Strong written and verbal communication skills Flexible and adaptable, with a calm approach under pressure People-oriented, with a natural ability to create a sense of ease and care in interactions
