Job overview

We are looking for a motivated and detail‑focused Electronic Rostering Coordinator to support the delivery of a Trust‑wide electronic rostering service for both Agenda for Change (AfC) and Medical staff.

Working as part of the Temporary Staffing and eRostering team, you will play a key role in the day‑to‑day management of the electronic rostering system, supporting clinical and corporate services to create accurate, compliant rosters and rotas. You will provide first‑line system support, maintain high standards of data quality, and produce reports to support safe staffing, workforce planning, and payroll processes.

The role involves working closely with managers, clinical teams, Medical Staffing, HR, Payroll, and system providers, offering advice and guidance on effective rostering and rota management. You will handle sensitive staff information and must demonstrate discretion, initiative, and strong organisational skills.

This is an excellent opportunity for someone with strong administrative and IT skills who enjoys problem‑solving, working collaboratively, and supporting services that make a real difference to patient care.

Main duties of the job

1. Provide day‑to‑day operational support for the Trust‑wide electronic rostering system, covering Agenda for Change (AfC) staff and medical staff
2. Act as a key point of contact for electronic rostering queries from clinical and non‑clinical teams, providing timely advice, guidance, and problem resolution
3. Ensure the accurate collection, input, validation, and maintenance of electronic rostering data for both AfC and Medical workforces
4. Monitor and maintain high standards of data quality, ensuring compliance with Trust policies, contractual requirements, and information governance standards
5. Produce and maintain routine and ad‑hoc reports to support safe staffing, workforce planning, rota compliance, and management decision‑making
6. Work collaboratively with managers, clinical teams, Medical Staffing, HR, and other stakeholders to support effective and compliant rostering practices
7. Support the consistent application of rostering rules, terms and conditions, and local agreements for AfC and Medical staff
8. Identify opportunities for system improvements and support the effective use of electronic rostering functionality
9. Handle sensitive staff and workforce information with discretion, maintaining confidentiality at all times

Training and Qualification

Essential criteria

10. GCSE Pass in English and Maths
11. Knowledge of data analysis and associated software/computer systems acquired through diploma or equivalent experience
12. High IT qualification (eg ECDL Level 2) or equivalent experience

Experience & Knowledge

Essential criteria

13. Knowledge of administrative procedures and systems, the majority of which are non-routine.
14. Customer service experience
15. Good understanding of the Data Protection Act and how it applies to staff records and information
16. Understand confidentiality and apply the principles in everyday working practice
17. Aptitude for working with figures to a high degree of accuracy and speed

Desirable criteria

18. Experience of working in NHS
19. Understanding the principles of effective rostering
20. Working knowledge of ESR

Skills & Ability

Essential criteria

21. Use of Microsoft office package including word, excel and outlook
22. Problem solving and decision making
23. Ability to manage a varied, unpredictable and demanding workload
24. Excellent customer service, communication and interpersonal skills
25. Good keyboard/ IT skills
