The Job
We are looking for a motivated team member to join our Systems Team, supporting the grants management platforms that drive our service Symplectic Grant Tracker RMS and SmartSimple AMS. In this role, you’ll work closely with the Research Systems Manager to plan, manage, and report on system testing, while liaising with colleagues across NIHR Coordinating Centres and external vendors.
This is a hands on role where you’ll balance day-to-day responsibilities such as managing user accounts, updating organisational records, and ensuring GDPR compliance with contributing to exciting digital initiatives. You’ll collaborate with the Digital Improvement and Business Analyst teams on projects like the NIHR Digital Strategy Programme, which aims to modernise and personalise research, and the One NIHR Project, which is unifying systems and processes across the organisation.
Key Responsibilities
* Maintain accurate system contacts, accounts, and organisation details in RMS/AMS, ensuring GDPR compliance
* Create/deactivate user accounts promptly; respond to registration queries
* Support Purchase Orders, invoice tracking, and payments
* Deliver RMS/AMS support tasks to high standards within deadlines
* Foster collaboration with Operations and GMG colleagues
* Assist with change management, cross-project work, and system migrations
* Maintain documentation, conduct data cleansing, and support knowledge transfer
* Provide admin support, cover absences, and minimise quality incidents
* Flag issues, improve processes, train users, and capture meeting actions
About You
This role is ideal for someone with strong communication skills, keen to develop technical expertise and grow alongside the team. You will bring a proactive, collaborative approach and a commitment to high standards in systems and operations support.
* Minimum two years’ experience in systems administration, operations support, or data management
* Familiarity with RMS/AMS or similar platforms
* Strong IT literacy (Excel, Word, Outlook) with the ability to learn new systems quickly
* Proven skills in administration, documentation, and project coordination
* Effective communication and interpersonal skills, including supporting or training users

Please note: This is an office based hybrid position, with a mandatory requirement to attend our offices in Twickenham, London, a day each week.
