Job Title: Administrative Assistant Location: Swindon, Wiltshire (Dorcan area) Reports to: Office Manager Working Hours & Conditions: * Full-time role, standard office hours 08:30 - 16:30 Monday to Friday. * Based at the Swindon factory / office location. * Some standing / walking may be required for trade counter and stock checks. Salary: * £12.21 per hour * This a temp to perm role About The Client A long-established, family-run trade supplier of high quality Liniar & Sheerline windows, doors and roof systems, operating from a state-of-the-art factory in Swindon. We supply both installers and the wider home improvement market. Purpose of Role: To provide administrative support to ensure efficient operation of the office and smooth coordination between sales, production, delivery and trade counter functions. Key Responsibilities: * General office duties such as answering phone calls, responding to email enquiries, greeting visitors and clients. * Maintaining and updating customer and supplier records in the database / CRM. * Processing orders: entering new orders, checking order details, liaising with production and delivery teams to ensure timely fulfilment. * Managing the trade counter: processing customer purchases, preparing quotes, ensuring counter stock is correct. * Managing schedules and calendars for relevant staff, booking appointments/meetings. * Assisting with invoicing, basic bookkeeping and purchase orders. * Preparing paperwork for deliveries and shipments. * Maintaining office supplies, stationery and ensuring the office environment is kept tidy and organised. * Supporting Sales & Marketing: help with brochures, catalogue updates, uploading product information, maintaining the gallery and videos (or coordinating with external parties). * Handling internal communications: distributing memos, notices, ensuring staff are kept informed of schedules, deliveries, etc. * Liaising with other departments (production, delivery, showroom) to ensure smooth flow of information. Skills & Qualities: * Excellent organisational skills and attention to detail. * Good verbal and written communication. * Comfortable using computers: MS Office (Word, Excel, Outlook), experience with databases or CRM systems. * Ability to prioritise, multitask and meet deadlines. * Team player, but able to work independently with minimal supervision. * Friendly and professional demeanour, especially at front-of-house. * Numerate, with ability to work with figures, invoices, data. Experience & Qualifications: * Previous experience in an administrative role * Experience handling customer enquiries and order processing. * A good standard of education; preferably GCSEs / equivalent in English & Maths
