The Business Support Officer role supports an individual area within a region to provide positive and timely business support for the Care and Support function to meet their delivery of organisation business processes related to, for example, finance, data gathering, employee engagement/support (on-board/off-board) mobile phone devise management and registered area office management.
Whilst individual roles will be based locally within an area office (within the geographical region), the Business Support Officer will be part of the wider Business Support team for the Region and will report to the respective Regional Business Support Manager who will determine working patterns in collaboration with the Registered Area Managers.
Hours required will be flexible based on service need and the registered office and this may include a requirement for weekend working and evening cover.
Key Responsibilities
Finance
* Invoicing and Purchase Order support
* Invoice recharges and journals (e.g. fuel, mileage, lease cars)
* Income returns, local banking and fundraising income support
* Credit card and petty cash reconciliation
* Restricted funds and aged debt support
Data & Reporting
* Produce and collate reports and data for Regional Business Support and Service Managers
* Ongoing data analysis and Helix reporting support
* Weekly and monthly area reporting
Communication
* Act as liaison between Shared Services, Regions and Areas
* Maintain area/regional Hub content
* Support communications to colleagues, casual workers, people we support and families/carers
* Office Management & Administration
* General office duties: phones, emails, post, queries and visitor management
* Meeting support including note-taking, minutes and presentations
* Maintain contact details and information archiving in line with GDPR
* Order office supplies (stationery, PPE, first aid) and ensure the office is well maintained
* Arrange travel and accommodation when required
IT & Asset Management
* Local IT point of contact; coordinate device deliveries, returns and audits
* Manage shared drive permissions and file structures
* Mobile phone device allocation, troubleshooting and redistribution
* Fleet Management
* Support lease car management, fines/tickets, Blue Badge applications and ad hoc hire
Health & Safety
* Registered office health and safety checks
* Employee Support
* Onboarding and offboarding (equipment, system access, ID badges)
* First point of contact for employee queries (e.g. payroll, IT)
* Agency worker setup, invoice processing and issue resolution
* Organisational Initiatives
* Hft Brand Champion and fundraising advocate
* Green Champion, promoting sustainability initiatives
* Support 'Voices to be Heard' with People We Support
What You'll Need
Essential:
* GCSE English & Maths (grade 4 or above or equivalent)
* Strong IT skills (Microsoft Word, Excel, PowerPoint)
* Office-based experience and financial administration knowledge
* Experience handling sensitive data and bespoke systems
* Strong attention to detail and ability to multitask in a fast-paced environment
* Ability to work flexibly, collaboratively and adapt to change
* Positive attitude towards people with learning disabilities
* Commitment to Hft's values and ways of working
Desirable:
* Business Administration Level 3 (or equivalent)
* ECDL or equivalent
* Not-for-profit sector experience
* Full UK/EU driving licence and access to own vehicle
