Project & Operations Coordinator

This role will support the development and implementation of projects, monitor the lifecycle of business-as-usual projects and provide support and assistance to the project and operations manager related to the assigned project(s). The role will support all project-related activities for assigned projects in accordance with SOPs, policies, and practices
Essential Functions
1. Establish new processes and improve upon existing processes related to project support.
2. Set up and maintenance of project documentation files and records according to the scope of work
3. Create and coordinate information and communications for assigned projects.
4. Update and maintain internal databases, tracking systems and project plans
5. Facilitate effective and accurate programme material design and development, working to gain the appropriate approvals
6. Prepare presentation materials for meetings and project summary data.
7. Coordinate project team and customer meetings, identifying and planning appropriate medium (Web, telecon, face to face) and ensuring arrangements are handled appropriately. Determine and plan all meeting requirements in advance.
8. Take and record minutes, notes and actions at assigned meetings, distribute and follow up accordingly.
9. Create and track project timelines
10. Coordinate with other teams within and across the organisation to identify and consolidate support processes.
11. Will serve as primary backup contact for internal project team and for external stakeholders/customers as designated by project manager.
12. Will undertake project management activities as directed by project manager
13. Develop and maintain the project library, filing, recording and reporting systems.
14. Define and document procedures in accordance with agreed methodology
15. Maintain risk and issue logs and change control records.
Skills experience and competencies required
16. Advanced level software and computer skills, including MS Office applications especially excel proven working experience of excel is essential
17. Strong organisational skill with the ability to manage multiple priorities under pressure, trouble-shoot, and to meet short, and long-term deadlines
18. Enjoy client interaction with the ability to establish and maintain effective working relationships with coworkers, managers and clients
