Job Summary:
We are seeking an experienced and proactive Office Manager to oversee day‑to‑day operations at our UK head office in Ashford. This individual will ensure the smooth running of the office, maintain a positive and productive work environment, and support employee engagement initiatives. The ideal candidate will be highly organised, an excellent communicator, and comfortable managing multiple locations and teams.
Essential Duties and Responsibilities:
* Office Management: Oversee daily operations of the Ashford office, ensuring efficiency and adherence to company policies.
* Facility Management: Coordinate maintenance, repairs, and office improvements to maintain a safe, functional, and welcoming workspace.
* Employee Engagement: Develop and deliver initiatives that enhance employee engagement, including team‑building activities, wellness programmes, and recognition events.
* Budget Oversight: Manage office budgets, monitor expenses, and identify cost‑effective solutions for supplies and services. Provide an overall invoice management.
* Vendor Management: Build and maintain strong relationships with external vendors and service providers to ensure timely, high‑quality service delivery.
* Compliance: Ensure all office operations comply with local regulations and internal company policies across all UK locations.
* Communication: Act as a liaison between the UK office, other European sites, and headquarters to support effective communication and collaboration.
* Plan and organize events for members of the team such as meetings and travel
* Manage supply ordering receive and sort incoming mail and monitor coordinate repairs of office equipment
Education: Minimum of 5 years' management experience, ideally with exposure to multi‑site operations and employee engagement initiatives.
Work Experience: Two plus years' experience in communications or business
Licensure, Registration and/or Certification:/
Special Job Competencies: Working knowledge of office equipment e.g. printers. Intermediate to advanced skills in Microsoft Office suite particularly Outlook Excel and PowerPoint. Experience with corporate deployments of SAP preferred. Communication Skills: Must possess excellent organizational verbal and written skills and be a self-starter; professional and approachable demeanor required since the role is a point of contact for both internal and external inquiries. Special Skills: Ability to prioritize and reprioritize well with limited amount of supervision; ability to collaborate and to maintain confidentiality of sensitive information; aptitude for general reporting and accounting and invoicing.
