What's involved with this role: Job Title: Legal Business Support Admin Officer Ref: Brent 5275730 Pay rate: £24.78 per hour PAYE Role length: Anticipated 3 months The role: The role operates within a strategic framework set by Corporate and Departmental Management Teams, with the flexibility to influence service development and policy. It involves engaging with various internal and external stakeholders to foster partnerships, while also managing a high-performing team that provides comprehensive and efficient business support for Legal Services. Key responsibilities include supporting the Service Management Team and Director of Law, overseeing Finance and Admin Officers, and assisting the Senior Management Team with financial planning and administration. Ideally you will have legal service practice management experience and are particularly familiar with Lexcel. Key responsibilities: Manage and lead staff to achieve high performance and effective operational delivery, including developing and improving staff capability Manage a customer focused service and the effective use of resources Support effective working relationships and act as an ambassador and advocate with external organisations Keep up to date with developments in service delivery and best practice to ensure the service performs effectively and to the highest standards Support the Director of Law and Senior Management Team in achieving high performance and effective operational delivery from staff within the Business Support Team, while assisting in monitoring and controlling income and expenditure to ensure the service remains within budget To manage, collate and report on external spend on barristers and experts, including external solicitors To produce monthly time charge information and invoicing for clients of the service To help facilitate discussions with client units on service levels, standards and quality Oversee the legal case management system and report on performance data, client feedback, and benchmarks Assist in maintaining and achieving external accreditations such as Lexcel, including coordinating annual assessments Manage ICT resources within Legal Services, including time recording, case management, and information systems Support the Senior Management Team and Director of Law in maintaining training and other records in Legal Services Effectively manage the Director of Law’s diary, communications, and meeting logistics; attend SMT meetings when needed Handle incoming correspondence and calls professionally, ensuring timely and appropriate responses What the client is looking for: Proficient in Excel Strong practice management skills/ experience Understanding Legal Services Understanding of case management system analysis and reporting Knowledge of issues facing an in-house legal service Knowledge of financial and management information systems, quality assurance systems, performance management, and marketing Track record of working with legal officers at senior level within a busy legal department Experience of assisting with implementing policy and strategy Experience of developing and adapting administrative processes to meet business needs Excellent communication, customer service and influencing skills Ability to use finance and management information systems for the monitoring of and reporting on indicators of performance, financial control, quality assurance and time recording Ability to assist with the formation and evaluation of options for the effective delivery of Legal services Ability to assist with developing new procedures policies and ideas for improving Legal Services How to Apply: Quote the Job Title and Reference Number in your application.
