Role summary
We are seeking a motivated and enthusiastic individual to join our team as an Office Assistant Apprentice. This is a fantastic opportunity to gain valuable hands-on experience while working towards a Level 3 Business Administration Apprenticeship.
You’ll play a key role in the smooth running of the office, supporting the team with daily administrative tasks, maintaining a professional and welcoming environment, and gaining a comprehensive understanding of office and business admin operations.
The Office Assistant is integral to smooth and effective running of the company supporting the daily running of the office and ensuring standards are maintained. The Office Assistant will be provided with support and development opportunities ensuring their success and development at CF and in their apprenticeship. The role will also collaborate with other Corporate Team members to support the delivery of their duties and with the personnel of companies providing services to CF e.g. those supporting the servicing of our offices and our IT.
Being agile and unfazed by evolving and emerging priorities is critical in this role, along with a direct and collaborative approach to engaging with the leadership team, all staff, and suppliers. Clear communication and strong interpersonal skills are essential, as is role modelling the behaviours we are committed to at every level of the company. Responsibilities
Under the guidance of the Facilities and Office Manager, your responsibilities and duties of the role will include, but are not limited to:
General Administrative Support
* Assist with filing, data entry, scanning, printing, and photocopying
* Manage incoming and outgoing post and emails
* Maintain accurate records and updating internal systems
* Support with document formatting and correspondence
* Maintain confidentiality at all times
Office Environment & Supplies
* Maintain clean, tidy, and well-organised office environment
* Order and restock office and kitchen supplies
* Assist in monitoring and maintaining office equipment
* Collaborate with the wider CF team to ensure their duties to the creating a positive working environment are maintained
* Serve as a point of contact for the CF Leadership Team and Vendors regarding all building facilities and queries relating to our office space
* Oversee inventory management of office supplies, kitchen goods, equipment and refreshments maintaining high standards, delighting team members and making cost-effective use of resources
* Organise the distribution of incoming and send outgoing mail for CF, ensuring the highest levels of discretion
* Identify improvement and maintenance requirements and coordinate office changes to minimize disruption to the work of the team
* Maintain relationships with contractors, suppliers, and service providers, ensuring high standards are met
* Monitor and assist office costs within the set budget, contributing to a cost-effective operation
* Manage wellbeing locker and pet supplies locker, ensuring it is always well stocked
Events & Meeting Support
* Assist in setting up meeting rooms (e.g., arranging chairs, AV equipment, refreshments)
* Act as the first point of in person contact for visitors, including candidates and clients; creating a welcoming and professional atmosphere
* Collect and provide lunch and refreshments for the SLT as requested
* Assist with the organisation of company events and socials
* Manage catering for company events, training sessions and London based offsites
IT Support
* Provide basic IT support to staff from helping connect to Wi-Fi to logging into meeting room IT facilities
* Log IT issues with our IT provider and escalate when necessary
* Continually assess and review IT needs alongside the office manager
* Assist with IT budget taking account of corporate strategy, business goals, the needs of staff, licenses, software, security issues and audits needed to meet legal requirements
* Work closely with our IT service provider to improve our systems, review security reports and act on issues with urgency with the support of the Facilities and Office Manager and Lead Partner
* Assist with managing the phone network provider costs for contracts and adjust contracts for specific needs
* Establish effective management of CF’s equipment, ensuring the timely issuance of equipment to new joiners and the return of equipment from leavers, working with our IT support service to continuously monitor and ensure correct equipment supplies
* Assist with managing the resale and/ or donation of used equipment to employees leaving the business or to not for profit companies.
Corporate communications
* Use corporate systems or forums to actively engage with all staff on the effectiveness of facilities and offices
* Proactively communicate plans, building awareness of planned changes and any disruptions that may be caused
* Gain and leverage feedback for making improvements to the working environment and ensure staff understand the relationship between feedback and action.
Learning & Development
* Dedicate one day per week to apprenticeship study
* Attend all required training sessions and completing coursework on time
* Apply learning in real-world office situations

Flexible working
We have a hybrid-working policy, the Office Assistant will need to work from the CF offices for a minimum of four days a week, with the fifth day spent on apprenticeship study from a location of the learner’s choice.
