Team Overview:
The Services & Maintenance team provides ongoing support and upkeep for installed mechanical and electrical systems, ensuring optimal performance, reliability, and longevity. They deliver scheduled maintenance, troubleshooting, and emergency repairs, working closely with clients to minimise downtime and extend asset life. This department plays a vital role in sustaining customer satisfaction and protecting the long-term value of our solutions.
Role Overview:
The Commissioning & Aftercare Administrator will integrate within the growing Commissioning & Aftercare Team providing support to various projects throughout the UK & ROI. This role will allow for interdepartmental collaboration throughout a number of internal teams and will assist in the successful delivery of pre & post commissioning and ongoing maintenance of our decarbonisation projects across the UK & ROI.
The applicant will be using various cloud-based platforms and CRM’s to ensure all documentation is correctly filed and issued to the relevant stakeholders, generating weekly/monthly reports for same. They will also be attending team meetings to record minutes and distribute them to the relevant recipients. There will be regular liaison with internal teams and aspects of liaising directly with our clients. The applicant must be comfortable working in a busy, vibrant, fast-moving office atmosphere.

Hours: Monday-Thursday 8am-5pm and Friday 8am-3pm

Responsible to: Technical Manager
What You’ll be Doing:
* Act as an initial point of contact to Log & Schedule works for external and internal stakeholders in line with project programmes and maintenance contracts.
* Issue Pre-Commissioning Checklists and any other required documentation to stakeholders. Ensure documentation is returned and completed prior to commissioning being scheduled.
* Schedule Commissioning Activities for stakeholders liaising with Commissioning & Aftercare team members.
* Track all planned, reactive and commissioning activities and complete relevant logs.
* Review all Maintenance reports for completeness, prior to issuing to the respective external & internal stakeholders.
* Provide Weekly & Monthly KPI reports to the team in relation to all maintenance works.
* Liaise with Internal & External Stakeholders, via phone call & emails.
* Provide Quotations & Invoice for all material & labour associated with planned and reactive works on our internal accounts package.
* Attend meetings to record minutes & actions to then distribute accordingly.
* General administration of Commissioning and Aftercare works.
What You Need to Have:
* 2+ years’ experience in administrative roles within the service and maintenance sector
* Experienced in fault reporting and acting as the first point of contact
* Strong document management and control skills
* Capable of prioritising multiple tasks to meet deadlines
* Flexible and able to manage a varied workload
* Proficient in Microsoft Office applications
* Effective verbal communication in person, via video, and over the phone
* Strong written communication with attention to detail
* Good interpersonal skills with both colleagues and clients
* Maintains professionalism and handles sensitive information appropriately
What You Would Ideally Have:
* Experience in Microsoft Power BI data visualisation software
* Working knowledge of Viewpoint for Projects (4P) CDE
* Working knowledge of Field View
