The Ministry of Defence employs over 50,000 Civil Servants. Within that, with responsibility for an annual budget of over £10bn, the Army is a major part of the Ministry of Defence and one of its largest operating centres who employ around 12,000 Civil Servants located at over 300 locations supporting the 110K regular and reserve soldiers across the Army. This Civil Service workforce is diverse, with many different functions and professions ranging from police officers, security guards, trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff.

The Army Operational Legacy Branch (AOLB) coordinates and leads all Army activity in support of operational legacy matters. The branch provides support to the judicial process by assisting in the timely disclosure of information and the provision of subject matter expert advice. We are the lead in the management and indexation of Northern Ireland operational records, and we also support Army personnel and veterans in legacy operational matters. We exist to ensure those that have served our country, are well supported in dealing with legacy affairs; this includes making sure the historical records are kept in the best possible condition.

This position is advertised at 37 hours per week.

The AOLB includes MOD Military Personnel and Civil Servants. We are geographically spread out across the United Kingdom with staff in Southampton, Scotland and Northern Ireland, although the main HQs are based in Army Headquarters, Andover. The AOLB team, regardless of where they are based, form part of the Army Personnel Services Group (APSG) that sits within the Personnel Directorate. As a Historical Records Clerk, you'll manage records within the Historical Operational Archive, locating and retrieving documents to assist the Ministry of Defence (MoD) with discovery information and legal obligations.

As one of three Administrative Officers, you will be part of a small team of four and will work closely with military and civilian colleagues across the MoD. Your role will entail working within a dynamic team in the Historical Operational Archive, carrying out diverse and intricate document search tasks, and investigating methodologies. Your contributions will be essential in delivering appropriate discovery documents to request. You must be methodical, detail oriented, proactive, and capable of working independently. You will have the ability to deal with sensitive materials and provide assistance and advice to customers within the Ministry of Defence (MoD), including the Directorate for Judicial Engagement Policy (DJEP) and other agencies.


Responsibilities

* Precise sorting, archiving, due diligence, including record keeping and retrieval of all documents within the Historical Operational Archive
* Managing discovery requests against priority deadlines, appropriately reporting on complex or prolonged searches
* Overseeing an effective and suitable IT cataloguing system to ensure accurate retrieval of documents and information pertinent to specific requests
* Reproducing retrieved material and compiling it into SharePoint folders for review by Disclosure Managers
