Overview
The post holder will provide Medical Secretary support to the Responsible Clinician and work with the administration team to deliver a professional, comprehensive and consistent admin service. As the first point of contact for Service Users, Carers and external organisations, the post holder conveys the correct impression for the Trust. The role requires working autonomously, prioritising workload while following established policies and procedures. The post holder will also liaise with MOJ, Courts, MAPPA, Solicitor firms, and other bodies as part of administrative tasks, including arranging Teams meetings when required. Main duties of the job include ensuring all correspondence is accurately presented using current methodologies and medical terminology used by the team, being highly skilled in the full range of administrative work practices and software programmes, and maintaining data on EPR. The post holder will be familiar with diary management, arranging meetings and taking notes, and will use internet skills to access, search and retrieve relevant data. Proficiency in touch typing and audio skills, and the ability to provide non‑routine tasks and mentor lower banded staff are important. The role may require coverage for other administrators in similar or lower roles and involvement in mandatory training.
The post holder will have access to vulnerable people in the course of duties and, as such, this post is subject to disclosures under relevant legislation.
Qualifications
* Educated to Secondary Level with GCSE qualifications or equivalent
* NVQ3/RSA3 or equivalent experience
* Willingness to complete apprenticeship or other appropriate training/qualification pertaining to the role
* European Computer Driving Licence (ECDL) or equivalent
* Desirable: Communications skills, Leadership training; extensive experience in an office environment
* Knowledge of secretarial or administrative procedures, including non-routine tasks such as query handling, progress chasing, problem solving
* Familiarity with a range of work procedures and the ability to deal with non-routine issues
* Knowledge of specialist medical/legal terms, organisational policies and procedures
