Purpose of Role
We are looking for a proactive and organised Planning Administrator to join our team based in Denton. The successful candidate will be responsible for the planning and coordination of engineers to deliver both Planned Preventative Maintenance (PPM) and Reactive Maintenance works across our retail client portfolio.
Job Description
You’ll act as the central point of communication between clients, engineers, and management — ensuring works are scheduled efficiently, completed on time, and meet contractual SLAs and compliance requirements.
Responsibilities
1. Schedule and coordinate engineers for PPM and reactive maintenance tasks.
2. Manage daily and weekly workload planning to ensure optimal engineer utilisation.
3. Monitor job progress, updating internal systems and client portals accordingly.
4. Liaise with engineers, clients, and subcontractors to ensure timely completion of works.
5. Track and report on performance metrics such as completion rates and response times.
6. Support compliance by ensuring all documentation and certification are recorded accurately.
7. Handle client queries professionally and provide regular updates on job status.
8. Assist with general administrative duties within the FM operations team.
Essential Qualifications/Skills
9. Previous experience in maintenance scheduling, facilities coordination, or helpdesk administration (ideally within a retail or FM environment).
10. Excellent organisational and communication skills.
Strong attention to detail and ability to manage multiple priorities.
11. Confident using computerised maintenance management systems (CMMS) or CAFM tools.
12. A team player with a proactive and problem-solving approach.
