Apex Talent Recruitment is a leading recruitment firm specialising in the real estate industry. We are currently seeking a highly organised and detail-oriented Executive PA to join our client's team. As an Executive PA, you will provide comprehensive support to the Chief Executive and play a crucial role in ensuring the smooth operation of his daily business activities.
Responsibilities Managing complex calendars, scheduling meetings, and coordinating travel arrangements
Actively participating in meetings, taking detailed minutes, and following up on action items
Handling sensitive and confidential information with the utmost professionalism and discretion
Conducting research and preparing reports, presentations, and correspondence
Screening and directing phone calls and emails, responding promptly and efficiently
Collaborating with cross-functional teams, ensuring effective communication and timely follow-up
Assisting in the preparation of board meeting documentation
Managing and organising files, documents, and records
Coordinating special projects and events, both internally and externally
Providing general administrative support to the executive team as needed
Requirements
A minimum of 3 years of experience as an Executive PA or in a similar role
Strong organisational and multitasking skills, with the ability to prioritise effectively
Excellent written and verbal communication skills, with a keen eye for detail
Proficient in Microsoft Office Suite and other relevant software
Proven ability to work well under pressure and meet tight deadlines
Exceptional problem-solving skills and a proactive approach to work
Strong interpersonal skills and the ability to build and maintain relationships
Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
Knowledge of the real estate industry not required, as long as you have an inquisitive mind
Manage a Junior Business Assistant
Able to work from the office full time Monday-Friday
A career-oriented individual
Can demonstrate commitment and being readily available for the CEO as required, including probable out of hours calls and work (inclusive of weekends)
Highly presentable and polished
Bachelor's degree, but not mandatory
