We have an exciting opportunity for an experienced, full‑time Client Support Administrator to join the team at Wates FM in Southampton. The role will support Wates FM in delivering a comprehensive, first‑class maintenance service and act as a professional, seamless link between management, support staff, and clients. You will be responsible for help‑desk and financial administration to ensure efficient service delivery.
About the role
To be seriously considered you should have strong administration experience in a busy, client‑driven environment, prior experience in Facilities Management, and working knowledge of CAFM systems (e.g., eLog). NVQ / SVQ in Customer Services Level 1–4 (preferred but not essential) is desirable. You must possess solid written and verbal communication skills, be highly computer‑literate with proficiency in Microsoft Office Suite, Concept Evolution and other IT systems, and have the ability to multitask, manage time effectively, and prioritise tasks.
Key Accountabilities
* Workflow management of all jobs through the CAFM system – logging, updating, closure and reporting against all PPM and reactive tasks. Assignment and allocation of jobs to the site Account Manager and Supervisor.
* Procurement through the system for parts, materials or contracted services required by Wates and the Client team, including obtaining pricing for quotes when requested.
* Administration of cash processes for Wates and the Client, such as accounts payable workflows and financial housekeeping activities.
* Administration and management of compliance records and documentation via ACT, Client systems and on‑site logbooks.
* Prioritise and manage a wide variety of daily demands whilst remaining calm and composed.
Qualifications
• Strong administration experience in a client‑focused setting
• Facilities Management background
• Familiarity with CAFM systems, e.g., eLog
• NVQ/SVQ in Customer Services (preferred)
• Excellent communication and Microsoft Office skills
• Ability to multitask and prioritise
