Overview
Hours: 18.8 per week (Part Time) – looking for support in the afternoons. Pathology department seeking to recruit an enthusiastic and proactive individual to take up the post of Business Support Officer as a six‑month secondment to cover the afternoons. The successful candidate will provide secretarial and admin support to the Pathology Laboratory Managers and Operational service leads. The aim is to provide an efficient, effective, and high‑quality administrative business support service to support the day‑to‑day operational delivery of diagnostic laboratory services. The Cellular Pathology and Microbiology departments are busy and play a vital role in the Trust’s diagnostics cancer service. The individual may be required to support other departments within pathology as needed during annual leave, etc. The key elements of this role are varied and include administrative duties, personnel and data management, data collection, and resource management. The interview date is 10.10.2025.
To provide an efficient and high‑quality administrative business support service to the Cellular Pathology and Microbiology Laboratory Managers and the Operational service leads of both departments. The candidate should be competent, versatile, and have a "can do" attitude, willing to learn new skills and maintain a high level of confidentiality regarding patient, staff, and financial information. The role largely requires working independently to ensure all tasks are completed within working hours. The successful candidate will be professional with strong IT and time management skills and the ability to communicate confidently with all staff groups. The candidate will work as part of a professional and friendly team to deliver a diagnostic service that meets accreditation and regulatory requirements and delivers high standards of patient care.
Responsibilities
* Deal with telephone and postal enquiries (routine and urgent); direct/delegate tasks and take action in the absence of the Laboratory Manager.
* Ensure relevant information is made available to Laboratory Managers including the Pathology Services Manager.
* Assist with administrative duties including effective diary management using electronic diary systems.
* Arrange and attend meetings; book venues, draft agendas, take and transcribe minutes (including complex minutes); distribute documentation within deadlines.
* Undertake confidential work with discretion and diplomacy in line with Trust policy (e.g., personal folders, sickness absence monitoring).
* Update QPulse with department documentation (Minutes, SOPs/policies) and create workflows for collection of feedback.
* Monitor HCPC Register for staff roles requiring registration; liaise with relevant managers as required.
* Work with Pathology Business Administrator to maintain personnel files, assist with recruitment documentation, and process staff changes.
* Facilitate staff selection processes, provide supporting documentation, and arrange interviews as required.
* Monitor staff absence and update local records and HealthRoster; assist with annual leave and contractual hour records.
* Set up and maintain data‑based records in Excel and provide spreadsheet information to Laboratory Managers (e.g., personal details, appraisals, development folders, orders/invoices, mandatory training, QPulse data).
* Run WinPath queries to provide required data: weekly malignancy lists for MDT coordinators, monthly billing data, Cancer Registry data, and other data returns as required; identify outstanding work and inform the relevant pathologist.
Data Management and Collection
* Set up and maintain data records; ensure data accuracy and timely reporting to support departmental needs.
People and Organisation
* To work closely with the Pathology Business Administrator; support recruitment processes; maintain personnel files; assist with new hires and changes to staff records.
* Assist in maintenance of staff annual leave and contractual hour records; document staff leave requests when Employee Online is unavailable.
Data and Reporting
* Provide data and reports as required to support contract monitoring, infection control, and other mandatory returns.
