The Office of the Vice-Chancellor (OVC) at the University of Essex is a central hub for the University’s leadership and administration. It includes key members such as the Vice-Chancellor, Deputy Vice-Chancellor, Pro-Vice-Chancellors and other senior staff who set the overall direction and provide leadership across the University. Additionally, the OVC oversees the University’s Corporate Governance Team.
Duties of the Role
Working with colleagues in the Governance Office team, the postholder is responsible for providing high level quality professional committee secretarial support for the University’s corporate governance committees, advisory groups to the University Steering Group, and the committees and boards of the Universities subsidiary companies as well as supporting meetings of the University’s governing body, Council. Responsibilities include preparing agendas and briefing papers, reports and cover sheets, planning meetings, timely preparation and distribution of papers, minute taking, recording and following-up actions, liaison with committee members and key stakeholders throughout.
The postholder is also responsible for developing and delivering templates, guidance, training and induction materials and support for committee members, secretaries, chairs, paper sponsors and authors on University committee protocols and good practice.
Additionally, the Governance Officer provides support to the Acting University Secretary and Director of Policy Advice and Corporate Governance, including support for committee preparation and follow-up through the preparation of briefing notes and action plans, providing cover and support for colleagues elsewhere within the team.
Skills and qualifications required
The Governance Officer will be educated to degree standard (or equivalent) with experience of committee secretarial work, knowledge and experience of good governance, writing reports and papers and have high level IT literacy. They will also have experience of working successfully with senior managers, internal and external stakeholders.
