Job Overview
The NWCTC is recruiting Medical Secretaries to provide comprehensive secretarial support to the team. The post holder will maintain confidentiality, deal empathically with staff, patients, carers, relatives and visitors via in‑person interaction, email and written communication, and promote a positive environment daily.
Responsibilities
* Collect and collate information as directed by the Senior Medical Secretary and/or Administration Manager.
* Prioritise and plan own workload independently to meet service level agreements and key performance indicators, and reflect on and improve performance.
* Adhere to standard operating procedures and protocols, advise and support colleagues, making judgements using broad skill experience.
* Monitor and review patient forms/details pending further action, chase outstanding responses and information.
* Provide information and advice to patients and relatives about admissions and appointments.
* Capture and transmit information using electronic communication media, working to agreed protocols/standard operating procedures within each speciality autonomously.
* Accurately input and maintain the patient administration systems, ensuring data quality at all times.
* Cover additional duties as appropriate when senior medical secretaries are absent.
Qualifications
* NVQ Business Administration Level 3 or equivalent experience.
* RSA / OCR Level 2 or equivalent experience, proficient user of Microsoft Word.
* IT related qualification CLAIT plus / ECDL or equivalent experience.
* Knowledge of a range of administrative processes.
* Experience of working in a busy office environment.
* Experience of audio typing.
* Proficient in use of Microsoft Office applications.
* Competently communicates professionally and effectively with all levels of staff both verbally and in writing.
* Experienced in planning and organising and prioritising own workload.
* Flexible and adaptable to changing service demands.
* Excellent organisational skills.
* Evidence of continual personal development.
* Medical terminology knowledge.
Desirable
* AMSPAR – City & Guilds Level 3.
* NVQ Customer Service Level 3.
* Experience of working within the NHS.
* Minute‑taking skills.
* Medical terminology knowledge.
* Team player, approachable/friendly, reliable, develops own practice through reflection and learning, empathetic.
* Welsh language ability desirable (Welsh and/or English speakers welcome).
