Key Accountabilities
* Manage the Director’s calendar.
* Manage the Director’s personal budget, making comprehensive records available at all times.
* Make arrangements for functions, conferences, visits and meetings.
* Co‑ordinate and prepare agenda and papers for executive meetings and assist with any follow‑up action as necessary.
* Supervise and organise workloads for clerical support team in conjunction with other functional managers.
* Maintain an efficient filing system, paying particular attention to records of standing meetings, statutory records and authorisations.
* Utilise financial and procurement systems and act as Local Purchasing Agent (where directed).
* Review accounts received and process invoices for payment in accordance with Internal Control procedures.
* Process and maintain weekly personnel records.
Essential Qualifications
* Excellent organisational skills.
* Experience of working with senior management.
* Excellent time management.
* Ability to work under pressure.
* Good MS Office skills.
* Ability to work on own initiative.
Desirable Qualifications
* Sound railway background and knowledge of railway geography.
The Ideal Candidate
* Time management and forward planning skills essential.
* Ability to use own initiative to get things done.
* Manage Director’s inbox as well as calendar and deal with urgent requests.
* Assertive when managing calendar and ability to prioritise requests for Director’s time.
* Represent the leadership team and therefore have polished communication skills.
