An Administration Assistant position has arisen within the Community Infection Prevention and Control (IPC) Team, based in Northallerton. The IPC Team provides an IPC commissioned service to adult social care across North Yorkshire and York, in addition to producing a range of IPC resources.
The main responsibilities of the role include:
1. General office administration duties, such as dealing with telephone enquiries from Hospital Trusts, Councils, Care Homes, General Practices, Domiciliary Care providers, and other healthcare professionals, directing them to the appropriate IPC Team members.
2. Supporting Team meetings by distributing agendas and taking minutes.
3. Handling resource marketing enquiries, processing orders, packing, dispatching, and managing stock control.
4. Supporting and attending regular IPC training events provided by the Team.
5. Coordinating mailshots on a regular basis.
6. Supporting social media and website development.
This role is varied and offers an excellent opportunity for personal and professional development. It is a full-time position, but job share opportunities may be considered for the right candidate.
Additional responsibilities include:
1. Providing administrative support to the IPC Team.
2. Maintaining comprehensive database systems.
3. Assisting with sending mail shots.
4. Contributing to the distribution of resources, maintaining high standards.
5. Managing stock levels, ensuring data accuracy, and reporting low stock levels to the Education Resource Specialist.
6. Being the first point of contact for initial enquiries, following standard operating procedures, and taking immediate action if necessary.
7. Promoting Infection Prevention and Control resources for Trust income generation.
8. Booking meetings and appointments.
9. Sorting and distributing incoming post/email, assessing priorities, and alerting clinical staff to urgent matters.
10. Answering incoming calls professionally and relaying messages to appropriate team members.
11. Carrying out photocopying and scanning as required.
12. Maintaining paper and software-based information and administrative systems.
13. Operating a strict code of confidentiality.
14. Organising and attending meetings, producing agendas, and taking minutes.
15. Organising/assisting with IPC study events.
16. Assisting with social media.
