Executive Assistant (PA, Marketing & HR Support) – Maternity Cover
Location: Central London (Hybrid)
Contract: Fixed‑Term Maternity Cover - 13 months
Salary: Up to £50,000 DOE
Overview
This is a broad and fast‑paced Executive Assistant position within a professional services environment. The successful candidate will provide high‑quality support across three key areas: Executive PA support, Marketing & Communications, and HR Administration.
The role requires a highly organised individual with exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities simultaneously. Key Responsibilities
Executive PA Support
* Manage the Director’s diary, meetings, and travel arrangements, ensuring efficient scheduling and conflict resolution.
* Prepare correspondence, briefing papers, policies, and meeting minutes.
* Coordinate expenses, contracts, insurance schedules, renewals, and compliance actions.
* Support internal meetings, events, and hospitality arrangements.
* Liaise with internal stakeholders, clients, suppliers, and external partners.
* Assist with ad‑hoc projects and operational initiatives as required.
Marketing & Events Coordination
* Support the development and delivery of annual marketing plans.
* Maintain CRM and marketing systems to track engagement, event attendance, and business development activity.
* Monitor market trends and competitor activity to help identify growth opportunities.
* Ensure consistent brand application across digital and print materials.
* Update and maintain website content, including profiles, news, and events.
* Design marketing collateral using platforms such as Canva (or similar).
* Manage digital and traditional marketing campaigns from briefing through to evaluation.
* Coordinate PR activity, including drafting announcements and liaising with media contacts.
* Oversee social media channels (primarily LinkedIn), producing or supporting content creation.
* Organise seminars, client events, and conferences — ensuring high‑quality delivery and attendee experience.
* Support directory submissions (e.g., Legal 500, Chambers & Partners), including interview scheduling and document preparation.
* Track marketing spend and prepare monthly reports for senior management.
HR Administration
* Maintain HR records including absence tracking, personnel files, and compliance documentation.
* Support recruitment activity, including admin staff hiring and wider recruitment processes.
* Draft contracts, references, NDAs, and onboarding packs.
* Coordinate staff training and maintain up‑to‑date certification logs.
* Ensure adherence to employment law, GDPR, and internal policies.
* Escalate HR issues to senior leadership when required.
Skills & Personal Attributes
* Highly organised with strong administrative and multitasking abilities.
* Excellent written and verbal communication skills.
* Strong attention to detail, professionalism, and discretion.
* Confident working with stakeholders at all levels.
* Proficient in MS Office (Word, Excel, PowerPoint).
* Desirable: Experience with marketing tools (Canva, Eventbrite, Campaign Monitor/Campaign Master, CRM platforms).
* Problem‑solver with sound judgement and decision‑making capability.
* Comfortable learning new IT systems and platforms.
Qualifications & Experience
* Minimum 5 years’ experience in an EA/PA role, ideally with exposure to marketing and/or HR.
* Experience in a professional services environment is advantageous.
* Degree‑level education or equivalent professional experience.
* Familiarity with CRM, HR systems, or marketing platforms preferred.
