Position Title: Document Controller Location: London (Site-based / Hybrid / Office-based depending on project) Role Summary The Document Controller is responsible for managing, controlling, and maintaining all project documentation for the construction project lifecycle. This includes ensuring documents are stored correctly, distributed to the right stakeholders, comply with project standards, and remain fully traceable. The role requires excellent attention to detail, strong organisational skills, and experience with common construction industry document management systems (DMS) such as Viewpoint For Projects (4Projects), Asite, Aconex, SharePoint, or Autodesk Construction Cloud. Key Responsibilities Document Management * Maintain and control all project documentation including drawings, specifications, RFIs, submittals, reports, and contracts. * Ensure all documents follow the project’s naming conventions and file structure (aligned with project-specific standards or ISO 19650). * Upload, review, quality‑check, and file documents within the project’s DMS. * Track document status, revisions, and approvals to ensure the latest information is always available. Distribution & Coordination * Distribute documents to internal teams, subcontractors, consultants, and clients as required. * Maintain transmittal logs and distribution registers. * Ensure timely responses to RFIs, design queries, and approval workflows. * Liaise with project managers, engineers, designers, and commercial teams to ensure document accuracy and version control. Compliance & Governance * Ensure documentation processes comply with project requirements, company standards, BIM protocols, and ISO 19650 information management standards. * Support audits by ensuring full traceability and document compliance. * Implement and uphold the project’s document control procedures. * MOD project Security requirements for the sharing of digital information System Administration * Manage permissions, user access, and workflows within the DMS. * Train project team members and subcontractors on document management procedures and systems. * Troubleshoot system issues and escalate to IT/software support when required. Reporting & Monitoring * Generate reports on document status, overdue actions, approvals, and workflow bottlenecks. * Monitor document progress against project deadlines. * Support handover documentation and O&M manuals preparation. Skills & Experience Required Essential * Proven experience as a Document Controller within the UK construction industry. * Strong working knowledge of at least one major DMS (e.g., 4Projects/Viewpoint, Asite, Aconex, ACC/BIM 360, SharePoint). * Understanding of construction drawings, document workflows, and revision control. * Excellent organisational and time‑management skills. * High level of accuracy and attention to detail. * Strong communication skills—able to liaise with internal and external stakeholders. * Proficiency with Microsoft Office applications (Excel, Word, Outlook). Desirable * Experience on large scale MOD construction Projects * Familiarity with ISO 19650 or previous experience working on BIM-enabled projects. * Experience working on large-scale infrastructure or commercial construction projects. * Knowledge of O&M manuals, technical submissions, and project handover requirements
