About the role:
The Procurement and Logistics Assistant will be a member of the HQ-based Global Procurement and Logistics team that provides support and guidance to HALO’s overseas programmes. They will be responsible for working with the Procurement and Logistics team in line with HALO’s procurement policy and procedures. This role will support the team daily as directed and will be responsible for, but not limited to, managing departmental files and supporting global requirements. This role also presents an opportunity for the individual to receive training in all areas of the Procurement, Logistics and warehousing function, enabling potential future development within HALO.
They will form part of a small HQ-based team and will be expected to work autonomously at times. There may be a requirement to visit programmes on an irregular basis as part of the role. The Head of the Department will determine this in consultation with the programmes.
Responsibilities
1. Liaise with HALO programmes globally to manage international procurement requests and international freight movements in line with HALO’s standard operating procedures
2. Supporting the Purchasing team with issuing Request for Quotes (RFQ)
3. Raising POs on the ERP System
4. Work with the Procurement & Logistics Team to resolve financial issues, including invoice queries with our Finance team
5. Support the Procurement & Logistics Team with their expediting plans to ensure that goods and services are delivered on time and in full
6. Ensure the purchase order files are kept up to date and inform relevant Team members if information is missing
7. Ensure the supplier register is up to date
8. Support the Logistics team with shipping requests and maintenance of the import and export
9. documentation standards
10. Use IT systems to ensure purchase orders are efficiently processed and tracked
11. Build and maintain a positive relationship with suppliers to ensure goods and services are provided in a timely and efficient manner
12. Work closely with fellow UK-based employees to provide comprehensive support on any logistics or procurement needs they may have related to office support, events, and other matters.
