Talent Acquisition Coordinator Location: Swindon - Hybrid – 2-3 days per week in the office, flexibility to increase if required (50% office presence across a fortnight) Overview As a Talent Acquisition Coordinator, you will play a pivotal role in supporting the customer’s resourcing operations. You will actively contribute to a team that advises and guides both the business and candidates throughout the entire recruitment process. Your responsibilities will include ensuring a seamless and effective delivery of solutions in a fast-paced environment, supporting continuous improvement initiatives for recruitment systems and processes, and enhancing data capture methods for comprehensive reporting. Key Responsibilities Requisition & Approval Management Setting up and categorising requisitions prior to approval Preparing group approval requests Ensuring job instructions are up to date and reflective of the latest process Interview Coordination & Candidate Communication Maintaining a high level of contact with applicants including interview outcomes and interview preparation Scheduling interviews, including sending calendar invites, booking rooms, and notifying reception and send interview invites and candidate packs Gathering interview notes from hiring managers and allocating to the candidate profiles Sending manual email templates to candidates and hiring managers at key hiring checkpoints Job Posting & Candidate Progression Posting & closing jobs on Indeed and other relevant channels and monitoring external job ads for accuracy and visibility Ensuring candidates are progressed in a timely manner and flagging delays to the TA Manager Offer & Compliance Management Preparing offers and corresponding documents for approval and sending new starter toolkit communication packs to managers Completing candidate checklists and ensuring all required documents are attached at each stage and Conducting Vigilance & rehiring ban checks Ensuring temp and contract hiring follows the correct process, including timesheets and invoicing details System & Data Management Managing vacancy folders and shared folders Ensuring ATS access control for hiring managers Ensuring candidate and requisition data in B.Welcome is clean, accurate, and meets governance requirements Monitoring the recruitment inbox and categorising messages for the relevant point of contact Stakeholder & Reporting Support (monthly and quarterly reporting cycles) Liaising with agencies for temp and contract hiring Collating data for TA Scorecard, campaign post-mortems, and ad hoc reporting requests Collating Glassdoor & Indeed reviews and distributing to HRBPs Collating content for Heads Up email (x2 jobs per fortnight) Project & Administrative Support Assisting in the creation and development of hiring toolkits, templates, and materials Arranging team meetings and events Providing ad-hoc support for TA projects and tracking progress Ensuring job instructions are kept up to date in line with any process amends What We’re Looking For Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) with a high degree of accuracy in administrative tasks. Systems proficiency; experience with an ATS is advantageous but not essential. Strong communication skills with a professional approach to candidate, client, and stakeholder interactions. Highly organized, able to manage a wide range of tasks without missing deadlines or expectations.
