Description Job Description Are you looking for a fast-paced post in a dynamic environment that offers the opportunity to build strong relationships across the Directorate and wider Scottish Government? You will join the Education Analytical Services (EAS) Division in the Learning Directorate. Working directly for the Deputy Director (DD), and reporting to the divisional business manager within Information Management Improvement and Evidence Unit. EAS provides a range of analytical, specialist and professional services to three Directorates in DG Learning and Justice. We work with Ministers, policy colleagues and other analysts across Government to advise on policy development, implementation and monitoring based on robust, relevant and up to date evidence and analysis. Responsibilities Manage and prioritise the DDs diary by understanding their priorities in order to deal effectively with diary requests and changes, booking meeting rooms and organising any associated logistics to ensure that their time is used effectively. Assist the DD in managing their inbox and preparing meeting papers by identifying the most urgent items for action and clearance, based on priorities agreed with the DD. Act as the first point of contact for all internal and external enquiries including ensuring all key communications are archived to provide a robust audit trail for important decisions. Passing on requests to Unit Heads when possible, to ensure commissions and asks are responded to on time where the DD does not need to action requests. Consider, with the DD, any specific briefing for meetings which they attend, then source and co-ordinate input on these from the relevant teams. Act as the divisional BCLO, including raising and receipting orders on Oracle; updating the budget monitoring sheet; reconciling spend against account analysis; processing journals as required; and maintaining the BUD1. Represent the division at Directorate BCLO meetings including monthly reconciliation of divisional staff with Oracle workforce dashboard reporting inaccuracies.
